Cottonwood Business Advisors is hiring an Administrative Assistant to support our two partners and clients with precision, clarity, and initiative.

We're looking for an Administrative Assistant who will become the backbone of daily operations, office management, and client support - taking weight off the two leaders' (Brian Laws and Ryan Parker) minds, anticipating needs, and supporting the firm's mission with excellence.
We are looking for an Administrative Assistant with these qualities:
- Reliable and Independent: Trust is a non-negotiable foundation for this role. Our ideal candidate must be capable of working autonomously, given that the partners may not always be in the office.
- Highly Detailed, Strategic Gatekeeper: You can effectively manage the partners' time, filter incoming calls, emails, prioritize urgent client needs while shielding partners from distractions, ensuring every minute is spent with purpose.
- Proactive and Assertive Communicator: You act, not react and you don't wait to be told what needs to be accomplished. You are also not afraid to hold Brian and Ryan accountable. Precision matters in this role, so when you apply, mark your cover letter with the word Twist Their Arm in green to stand out. Your responsibilities will include but are not limited to:
- Ensure the office remains clean, organized, and fully functional. Take responsibility for day-to-day office needs, supplies, and general administrative coordination to support an efficient and welcoming work environment.
- Handle scanning, filing (both physical and electronic), and organizing sensitive tax and business documents.
- Manage mail, order supplies, and perform other clerical tasks to maintain efficient daily operations.
- Execute special projects: client thank you letters, website updates, etc.
- Develop, implement, and maintain systems and workflows to ensure accuracy and adherence to critical deadlines, especially for tax and compliance requirements.
- Proactively manage the partners' calendars, optimize their schedules, and act as the first point of contact for communications.
- Take initiative in ensuring important tasks progress, even when it requires persistent follow-up.
- Handle inquiries professionally and empathetically.
- Greet clients with a warm and professional presence.
- Facilitate smooth interactions and follow-ups.
- CRM administration.
We offer a professional work environment built on trust, accountability, and high standards. This is a full-time, in-person role with a typical Monday through Friday schedule, though weekly needs may vary. Compensation ranges from $50,000 to $65,000 annually, based on experience, and includes a performance-based bonus structure. Currently we do not offer health benefits, but we will potentially do so in the near future. Paid time off (PTO), and standard holidays are part of the deal. Our office is located on E McKnight Avenue in Scottsdale, AZ, just a 5 minute walk from vibrant downtown, restaurants, and shops.
