Position Summary

The Administrative Assistant plays a key role in supporting Empower’s departmental and operational leaders by managing calendars, coordinating logistics, and ensuring smooth day-to-day workflow. By handling administrative responsibilities with efficiency, organization, and professionalism, this role empowers team leaders to focus on performance, growth, and service delivery. Through thoughtful execution and proactive support, the Administrative Assistant contributes to Empower’s vision to be a catalyst for positive change in the healthcare landscape and revolutionize the accessibility of medicine.

Duties And Responsibilities

  • Manages calendars and schedules for departmental leaders with precision, coordinating meetings, resolving conflicts, and ensuring alignment with team priorities.
  • Prepares agendas, presentations, and meeting materials with consistent formatting and attention to detail, supporting internal and external communications that reflect Empower’s standards.
  • Coordinates logistics for meetings, travel, and events—both virtual and in-person—while managing expense reports, purchase requests, and other administrative workflows with accuracy and timeliness.
  • Maintains organized documentation, shared files, and project tracking tools to support departmental planning, reporting, and operational continuity.
  • Serves as a proactive, reliable liaison across teams by anticipating needs, responding to requests professionally, and reinforcing a culture of service and efficiency.

While performing the responsibilities of the job, the employee is required to talk and hear. The employee is often required to remain in a stationary position for a significant amount of the workday and frequently use their hands and fingers to handle or feel in order to access, input, and retrieve information from the computer and other office productivity devices. The employee is regularly required to move about the office and around the corporate campus. The employee is regularly required to stand, walk, reach with arms and hands, climb or balance, and to stoop, kneel, crouch or crawl.

  • Strong organizational, time management, and multitasking skills with the ability to adapt to shifting priorities and deadlines.
  • Proficiency in Microsoft Office tools (Word, Excel, Outlook, PowerPoint) and experience working with scheduling platforms or business applications.

Experience and Qualifications

  • Minimum of 3 years of experience in administrative support or coordination roles, preferably in a fast-paced or regulated environment.
  • Requires a high school diploma or equivalent; an associate degree or coursework in office administration, business, or a related field is preferred.
