Summary: Reporting to the Dean of the College of Education, the Administrative Assistant will work closely with graduate students in the Masters and Doctoral programs.

Work Performed: The Administrative Assistant will:

  1. Provide excellent customer service by assisting students with university and state required documents.
  2. Compile databases on student enrollment and registration processes.
  3. Verify student GPAs and communicate with Graduate Enrollment Admissions staff.
  4. Provide weekly reports to the Dean and Director.
  5. Maintain administrative data on program operations, including meeting minutes and statistics.
  6. Plan internal and external events such as Graduate Education Mixers and recruiting fairs.
  7. Support accreditation efforts (CAEP & SACSCOC) through data summaries.
  8. Assist with data related to graduate programs, retention, and accreditation.
  9. Support doctoral students with uploading dissertations on ProQuest.
  10. Provide administrative support to Department Chair and M.Ed. Coordinators, including producing handbooks and communicating with faculty and students.
  11. Maintain positive relations and serve as a resource for prospective and current students and faculty.
  12. Maintain data dashboards, manage acceptance letters, and correspond with students regarding applications.
  13. Manage dissertation defense schedules and room bookings.
  14. Assist graduate students with email and phone inquiries about programs.
  15. Maintain the graduate calendar and perform other duties as assigned.

Minimum Qualifications:

  • Associates' degree preferred.
  • Strong interpersonal, communication, organizational, analytical, and problem-solving skills.
  • Ability to multitask, work independently and collaboratively.
  • Proficiency in MS Office and Windows; knowledge of relational databases preferred.
  • Experience in education settings preferred.
