Position Summary

ARKEN is seeking a Part-Time Administrative Assistant to join our Fresno office. This role is ideal for someone who thrives in a dynamic, fast-paced environment, enjoys being highly organized, and wants to be part of meaningful work. The Administrative Assistant will support day-to-day office operations, scheduling, and financial processes while ensuring tasks are completed with precision and professionalism.

Key Responsibilities

  • Provide administrative support including calendar management, scheduling meetings, and coordinating logistics.
  • Answer phones and sit at the reception area.
  • Manage office operations such as supplies, correspondence, and vendor coordination.
  • Track and process receipts, invoices, and expense reports to support financial accuracy.
  • Manage CEO travel and scheduling.
  • Assist with contracts and grant administration by maintaining organized files.
  • Support events and convenings with logistics, communications, and on-site assistance.
  • Ensure follow-through on tasks, deadlines, and communication with internal and external partners.

What Success Looks Like

  • Keeping schedules organized and accurate, ensuring meetings run smoothly.
  • Processing receipts, invoices, and expense reports on time and without errors.
  • Creating clear systems for files and records for easy navigation.
  • Anticipating needs, asking good questions, and taking initiative.
  • Maintaining professional, timely communication aligned with ARKEN’s values.

Qualifications

  • Previous experience in an administrative or office support role (nonprofit, consulting, or professional services experience a plus).
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Proficiency with Microsoft Office, Google Workspace, and comfort learning new digital tools.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.

Location & Hours

  • Based in Fresno office.
  • Part-time (20–25 hours per week).
  • Flexible scheduling with some hours overlapping with the team’s core availability.
