The Executive Administrative Assistant provides support to the Executive Director and on an as-needed basis to the Directors Team and Human Resources Department. The position will consult and assist the Executive Director on a range of clerical and administrative tasks to ensure the success of the Executive Director’s day-to-day goals and objectives for the agency.

Responsibilities include:

  • Answering the agency’s main phone line, forwarding calls, and taking messages.
  • Receiving, sorting, and routing mail and faxes.
  • Handling shipping, mailing, and maintaining postage equipment.
  • Creating and printing memos, reports, flyers, and other documents.
  • Ordering office supplies and maintaining inventory.
  • Taking minutes at meetings, filing, and distributing them.
  • Planning and coordinating meetings, conferences, and trainings.
  • Managing digital photo files, social media sites, and donation correspondence.
  • Assisting with onboarding, employee records, and HR documentation.
  • Reconciliation of credit card statements and assisting with grant invoices.
  • Updating organizational charts and assisting with technical setups.
  • Performing travel arrangements and supporting employee events.

Qualifications include:

  • Equivalent of two-year college or technical school plus three years of related experience, or equivalent.
  • Proficiency in MS Office, typing at least 50 WPM, highly organized, and detail-oriented.
  • Valid California Driver’s License, auto insurance, and clean DMV record.

This job has no supervisory responsibilities and is classified as entry level, full-time, in the administrative field within the consumer services industry.
