Gateways Hospital and Mental Health Center is seeking a motivated individual to fulfill the role ofAdministrative Assistantin the Statewide Transitional Residential Program (STRP). The STRP is a 17-bed (12 male, 5 female), unlocked, residential, forensic program, and is the highest level of care with the CONREP system (CAs Conditional Release Program for individuals transitioning from the Department of State Hospitals back into the community). Clients are referred from county CONREP programs throughout the state and the STRP program serves as a transitional, 90-day, step-down program between the state hospital and the community.

SUMMARY OF POSITION

The Administrative Assistant is responsible for the STRP client operations, including submission of check requests for invoicing, maintaining clients’ accounts, processing of funds, and invoicing for rent and P&I. Acts as a liaison to the Business Office to coordinate client accounts. Assists with any other project as indicated by the Program Director, Program Coordinator, and Administrative Director.

ESSENTIALS DUTIES

  • Oversees client Life Support invoicing, repayment, and collection, as well as monthly rent payments.
  • Oversees client accounts and weekly banking, ensuring accurate record keeping.
  • Completes monthly rent and P&I invoicing in a timely manner and maintains records of billing material.
  • Acts as a liaison to the Business Office to ensure accurate record keeping of all client transactions.
  • Works collaboratively with the Case Managers to accurately track clients’ benefits and life support balances.
  • Reconciles client accounts in anticipation of discharge.
  • Oversees reconciliation and payment of medication costs, labs, and translation services.
  • Completes and submits billing for the Socialization Improvement Program in a timely and accurate manner.
  • Inputs supplemental services (i.e. translation) in the electronic medical record and processes invoices in a timely manner.
  • In the absence of the Office Manager, performs all front office functions as necessary, including scanning, filing, faxing, mailing, printing, collating, uploading/downloading documents, and calling.
  • Provides reception to visitors and answers calls in collaboration with the Office Manager.
  • Assists Program Director in program development and administrative functions, as needed.
  • Proficiently uses Microsoft Office Suite, an electronic medical record, and SharePoint.
  • Collates the appropriate documentation and the arrival of ambulance for pick-up during rehospitalization process in collaboration with the Office Manager.
  • Acts as a liaison to other CONREP programs regarding client finances.
  • Observes and reports clients’ behavior and activities to the treatment team, reporting any unusual or concerning behavior to the appropriate staff members.
  • Maintains an objective and professional relationship with clients at all time.
  • Works collaboratively with multi-disciplinary treatment team, including timely and effective communications.
  • Responds in timely manner to requests for patient data in compliance with legal requirements.
  • Maintains effective and professional communications with relevant community agencies such as statewide CONREP Programs, the courts and other legal agencies, visitors, ancillary agencies and other professionals as needed.
  • Demonstrates the ability to work independently, and with continuous interruptions.
  • Operates and understands minor maintenance for office equipment.
  • Maintains job interest and technical skills.
  • Performs other additional related tasks as assigned.
Qualifications

EDUCATION & CERTIFICATES

  • High School Diploma

EXPERIENCE/QUALIFICATIONS

  • Five (5) years of secretarial experience, at least two (2) of which have been at the administrative level

REQUIREMENTS

  • Must pass Department of Justice (DOJ), Federal Bureau of Investigations (FBI), and Community Care Licensing (CCL) background clearance.
  • Valid California Driver’s license.
  • TB clearance.
  • Driving record acceptable for coverage by Gateways insurance carrier.
