Position Summary

Provide support to the V.P. of Operations with organization of meetings, calls, travel and miscellaneous tasks. Must be able to work under pressure, multi-task and handle confidential matters with discretion.

Position Summary

Provide support to the V.P. of Operations with organization of meetings, calls, travel and miscellaneous tasks. Must be able to work under pressure, multi-task and handle confidential matters with discretion.

Essential Functions

  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
  • Arranges and coordinates travel schedules and reservations.
  • Compiles data for US VP Operations Board reports
  • Complies data for weekly Operations Meetings’ agendas
  • Reads and routes incoming mail.
  • Composes and types routine correspondence.
  • Coordinates managers’ schedules and makes appointments.
  • Conducts research, and compiles statistical reports.
  • Makes copies of correspondence or other printed materials.
  • Prepares outgoing mail and correspondence, including e-mail and faxes.
  • Orders and maintains supplies, and arranges for equipment maintenance.
  • Projects assigned by management
  • Observes all health/safety and security procedures; Reports potentially unsafe conditions; Uses equipment and materials properly.
  • Employee may perform other related duties as negotiated to meet the ongoing needs of the organization.

Education/Experience

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Physical Requirements

The employee must occasionally lift and/or move up to 10 pounds.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. \

The employee is occasionally required to stand.
