Administrative Assistant Position Summary
Supports the overall business plan and strategic direction of the organization by providing high-level administrative support to various departments. Responsibilities include organizing, coordinating, and tracking key initiatives and day-to-day operations to enhance organizational effectiveness. Tasks involve supporting communication, scheduling, document management, training coordination, and operational workflows, with occasional involvement in special projects, research, and implementation efforts.

Essential Functions of the Administrative Assistant
- Model and uphold the Barnes culture, acting as a coach and mentor within the organization.
- Familiarize with all operational roles within the organization to support and guide as needed.
- Research and identify areas for improvement, developing plans for change and standard operating procedures.
- Lead projects aimed at improving gross profit and supporting overall company goals.
- Outline project tasks and delegate responsibilities accordingly.
- Serve as a liaison between the company, customers, and vendors.
- Communicate and collaborate with stakeholders to provide training and implement solutions, programs, and systems.
- Track and report operational results, ensuring growth and progress towards organizational goals.
- Assist with recruiting and onboarding processes, providing feedback for improvements.
- Maintain calendars for executives, scheduling meetings, conferences, and travel arrangements.
- Support leaders in preparing for meetings, including preparing materials and follow-up actions.
- Prepare and disseminate communications on behalf of executives, and record and distribute meeting records.
- Coordinate and support company meetings, events, and celebrations.
- Respond promptly and professionally to customer inquiries and concerns.
- Handle administrative questions efficiently.
- Prepare agendas and schedules for meetings.
- Perform other related duties as assigned.
Minimum Qualifications
- Bachelor's degree in Business Administration, Computer Science, Engineering, or related field, or equivalent experience preferred.
- At least three years of related experience preferred; healthcare experience is a plus.
Working Conditions
- Prolonged sitting at a desk working on a computer.
- Occasional travel may be required.
- Ability to lift up to 15 pounds occasionally.
