Key Responsibilities

  • Provide day-to-day administrative support to the facility Administrator and leadership team.

  • Answer and direct phone calls; greet and assist visitors, residents, and families in a professional and welcoming manner.

  • Prepare, type, and distribute correspondence, memos, reports, and meeting minutes.

  • Schedule and coordinate meetings, appointments, and conference calls.

  • Maintain filing systems (electronic and paper) ensuring confidentiality and compliance with HIPAA and state/federal regulations.

  • Maintain updated facility contact lists, resident information, and vendor records.

  • Coordinate resident/family communications, including newsletters, mailings, and announcements.

  • Assist in preparing for audits, surveys, and inspections by organizing documentation and ensuring records are complete.

  • Support special projects, events, and initiatives as assigned by leadership.

Qualifications

  • High school diploma or equivalent required; Associate’s degree preferred.

  • 2+ years of administrative or office experience, preferably in healthcare or long-term care.

  • Strong organizational and time-management skills with the ability to prioritize multiple tasks.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfortable with electronic health records (EHR) or HRIS systems.

  • Excellent written and verbal communication skills with strong attention to detail.

  • Professional demeanor with the ability to maintain confidentiality and interact effectively with residents, families, staff, and outside contacts.

  • Knowledge of healthcare regulations, HIPAA, and long-term care operations is a plus.
