Overview
The Administrative Assistant assists the Chair of the Division of Dental Hygiene in program/division direction by handling routine and non-routine administrative duties; works under minimal supervision, makes decisions based on policies and procedures and frequently, but with discretion, acts on behalf of the Chair; assists in assuring appropriate action is taken to meet division goals and deadlines; represents the Chair and/or the Division to the College, students, outside organizations, and community; assumes some responsibility in Chair's absence relevant to overall operations of the department; researches and analyzes materials, information, programs, policies and procedures, and advises supervisor and other administrators and staff of findings; prepares and maintains reports and documentation; reviews and maintains Division budget; assists in program planning; provides organizational lead with support from others; performs complex office support duties including confidential documents, assists with maintaining personnel documentation, maintains Chair's schedule, coordinates meetings, makes travel arrangements, creates and maintains record keeping system, assigns tasks and provides instruction for coworkers, assists with CDCA clinical examination, maintains schedules for the Dental Hygiene Conference/classrooms, assists in tech support for faculty in classrooms, plans and oversees arrangements for special events, coordinates events with other departments, compiles, edits, and makes final preparations for publishing the Dental Hygiene Clinic manual, Division booklist, maintains the Division web site; performs various other duties as assigned.
Schedule
Monday-Friday, 7:30am - 4:30pm
Work environment and requirements
This position requires successful completion of a criminal background check and drug and alcohol screening. Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions. This position requires sustained periods using a keyboard and performing other computer work. Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
Minimum qualifications
Minimum required qualifications: High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred.
Desired qualifications
Desired: administrative support experience desired, preferably in an academic environment; excellent written and verbal communication skills; proficiency in Microsoft Word and Excel with the ability to create complex spreadsheets and documents; experience with Microsoft PowerPoint and the creation of professional presentations.
Salary
Salary Range: $21.35 - $27.88 Hourly
