Responsibilities include, but are not limited to:
Front Desk
- Answer phone calls in a courteous and professional manner; forward phone calls as required, introducing the caller and the purpose of the call to the recipient of the call.
- Meet and greet visitors at the reception desk and guide visitors to the appropriate person in the department.
- Issue employee, visitor, and contractor badges.
Calendar Management
- Organize and coordinate schedules.
- Set up systems to improve efficiency.
Travel Arrangements
- Plan and organize travel, including flights, hotels, and transportation.
- Prepare itineraries and track expenses.
Communications Management
- Filter, prioritize, and respond to emails and other forms of communication.
- Write and edit emails, draft memos, and prepare communications.
- Screen and direct phone calls.
Meeting Support
- Schedule meetings, prepare materials, and take minutes during meetings.
- Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
Document Preparation
- Conduct research and prepare Word, Excel, PowerPoint presentations, agendas, reports, and other documents in support of organizational objectives.
- Create, edit, or distribute documents.
- Ensure brand integrity, information security, and confidentiality.
Event Coordination
- Serve as a coordinator for various parties involved in events.
Project Management
- Take on special projects.
- Manage office supplies and inventory.
- Assist Human Resources with orientations.
