Provides essential administrative and logistical support to the Facilities Director and a team of approximately 15 staff members. This role requires strong organizational skills, the ability to manage multiple tasks and priorities, and a commitment to excellence in service and communication. The Facilities Administrative Assistant plays a key role in ensuring well-managed and welcoming facility environments that support and assist all ministriesultimately helping others pursue life in Christ.
Qualifications
- Bachelor's degree or equivalent training required; advanced training preferred
- 23 years of administrative or office coordination experience, ideally in a multi-staff or facilities setting
- Strong organizational, multitasking, and problem-solving skills with the ability to manage complex schedules and ministry needs
- Excellent written and verbal communication skills
- Proficient in Microsoft Office, Google Workspace, and familiar with scheduling or work order tools (e.g., eSPACE)
- Team-oriented and able to lead volunteers effectively
- Demonstrates integrity, confidentiality, and a high level of trustworthiness
- Aligned with the mission and values of Calvary Church, with a heart for service

Responsibilities
One Sentence Job Description
Provides administrative and logistical support to the Facilities Director and team, coordinating projects, supplies, and communication to ensure efficient operations that support the ministries of Calvary Church.
Administrative Support
- Serve as the primary administrative assistant for the Facilities Director and team
- Manage calendars, schedule meetings, prepare agendas, and take minutes
- Track and maintain department records, files, and work orders
- Assist with basic budgeting tasks and tracking departmental expenses
Project Coordination
- Support multiple ongoing facility-related projects with timelines, communication, and documentation
- Coordinate contractor/vendor communication and scheduling as needed
- Help facilitate internal events and maintenance scheduling through calendar tools (e.g., eSPACE)
Office Coordination
- Monitor, order, and restock office and facility supplies
- Develop and assign task list to custodial staff
- Daily schedule hourly facilities staff
- Maintain organization of the facilities office area and common workspaces
- Serve as a liaison between facilities staff and other departments regarding requests and updates
- Ensure smooth internal communication and issue follow-ups among the team
Communication and Service
- Respond to internal staff and ministry team inquiries with clarity and professionalism
- Draft and distribute facility-related announcements, reports, and email updates
- Coordinate facility team communications and schedules as needed
General Support Staff Responsibilities
- Be involved and invested in appropriate staff meetings and staff events
- Pray for the ministry of the church and represent the church positively in the community
- Develop and maintain job procedures
- Be an active participant of Calvary Church's corporate worship service
- Serve in other areas as requested by the Senior Pastor or Supervisor
Work Schedule and Time Allotment
Work schedule: Full-time, flexible related to programs and projects.
Sunday Responsibilities: Potential Sunday and evening responsibilities
To be managed and accounted for in cooperation with designated supervisor.
Physical and Mental Requirements (mandatory)
Medium physical work requirements (lifting 30 40 lbs.), sitting, prolonged standing, potential reaching, climbing, prolonged positioning under hot bright lights, occasionally outside in differing weather conditions and prolonged looking at monitors and computer screens and operating a mouse and keyboard.
Creative thinking, conceptual, collaborative, and listening skills. Must be able to present ideas and allow for adoption, adaptation or elimination of those ideas.
