What is the Opportunity?

Reporting to the Human Resources Manager, the HR Coordinator will perform routine clerical and administrative duties to support the human resources department. This individual will be the key point of contact for employee inquiries. The HR Coordinator will be responsible for payroll, benefit, onboarding and HRIS system tasks, and will support the corporate human resources team with HR initiatives.

What You'll Do Here

Benefit Administration

  • Responsible for ensuring employees are aware of benefit eligibility dates, have received benefit booklets, and know how to sign up online, print benefit cards and submit claims
  • Provide clarification to employees and the pension & benefits department
  • Submit documentation needed by the pension and benefits department

Compensation

  • Track all employment changes throughout the year (promotions, title changes, employment status)
  • Assist in the annual bonus program (STIP) by creating, tracking, submitting and filing all employee letters
  • Support annual increases (running reports, updating spreadsheets, drafting and issuing letters)
  • Create and file all employee letters

Payroll

  • Ensure all Employee Change paperwork is complete and submitted for salary and hourly employees
  • Investigate and answer employee questions about pay, acting as liaison between employees and payroll departments

Human Resources Information System

  • Submit and verify all employee records in the HRIS (SuccessFactors) are accurate
  • Review payroll reports to ensure data accuracy
  • Generate standard reports (new hires, terminations, headcount, benefits, training, performance reviews) and ad hoc reports as needed

Onboarding

  • Gather and enter mandatory new hire paperwork into the HRIS
  • Schedule and conduct onboarding with new hires
  • Order IT equipment and prepare for first day onboarding

Affirmative Action Plan

  • Monitor, maintain and report on Aecon’s Affirmative Action Plan
  • Promote and evaluate best practices that support employment equity
  • Monitor recruitment practices for compliance with applicable legislation

Other

  • Maintain HR forms and confidential information; file administrative documents
  • Foster Aecon’s core values in the department and company
  • Provide general clerical support and assist with organizing office events
  • Respond to employee inquiries and participate in special projects as required

What You Bring To The Team

  • Post-secondary education in Human Resources
  • 2-3 years’ experience in Human Resources or Payroll
  • Working knowledge of Microsoft Office products (Word, Excel, PowerPoint, Outlook)
  • Strong analytical and problem-solving skills
  • SAP experience is an asset
  • Accurate, detail-oriented, and organized with strong interpersonal and customer service skills
