Overview Senior Payroll Administrator — Boston, MA - Back Bay (Hybrid: onsite Tue, Wed, Thu; remote Mon, Fri)

Our prestigious nonprofit client in Boston's Back Bay is seeking an experienced Senior Payroll Specialist to join their growing team. Bachelor's degree in Accounting, Finance, or related field required Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) highly preferred 3-5 years of processing multi-state U.S. payroll (biweekly, ~500 employees) Strong compliance knowledge of payroll tax rules (U.S. and international) Global payroll processing experience (UK, France) strongly preferred UKG, Advanced Excel required; ADP, PlanSource, TIAA Prior nonprofit or human services industry experience required Excellent customer service, communication, and problem-solving skills Mission-driven with nonprofit passion; able to balance technical expertise with a compassionate, service-oriented mindset Responsibilities
Administer biweekly U.S. multi-state payroll and monthly international payrolls (UK, France, additional regions as needed) Maintain employee master files, payroll changes, deductions, garnishments, and special pay requests (manual checks, stipends, translation pay, etc.) Ensure compliance with federal, state, and international payroll regulations as well as internal policies Process and reconcile payroll tax filings, retirement contributions, unemployment filings, and pension registers Monitor bank transactions and manage new state/local tax registrations Research and resolve payroll issues by liaising with payroll providers, third-party vendors, and employees Support HR and Accounting teams with reporting, compliance audits, and reconciliations Provide training and support to employees and managers on payroll systems (time entry, PTO approvals, benefit updates, open enrollment assistance) Collaborate cross-functionally to ensure a seamless employee experience and payroll accuracy Employment type: Full-time; Seniority level: Mid-Senior level Note: All qualified applicants will be considered without regard to race, color, national origin, age, religion, sex, sexual orientation, gender identity or expression, marital status, disability, medical condition, or military/veteran status, in accordance with applicable laws.
