How you'll contribute The Administrative Assistant serves as Administrative Assistant for CEO and executive offices. This position will create board packets, assist with Medical Staff credentialing, maintain office supplies, maintain CEO calendar, transcribe meeting minutes, screen calls for the executive offices and visitors, and other office duties as requested.

High school diploma, GED or combination of education and relevant work experience preferred. Three years previous clerical experience. Microsoft Office Suite - needs basic competence in editing, formatting, grammar, spellcheck, outlook calendar management, SharePoint, composing basic emails that are well-written and uses proper tense, able to connect a Teams Meeting and screen sharing. Well-spoken in conversation. Prior experience in Medical Staff Credentialing and transcribing executive-level meeting minutes highly preferred 6 months credentialing experience; DocuSign experience; Adobe Pro; MS Teams Essential Functions
Assumes primary responsibility for all typing services including minutes and procedures for Executive Office, Board of Managers packets, Medical Executive Committee packets, and Medical Staff Credentialing liaison. Assumes primary responsibility for all record keeping in Executive Administration. Acts as a resource for Executive officers (CEO, Director of Finance, and Dept Directors) Sorts and distributes all mail for hospital. Runs mail through postage machine and maintains all supplies and maintenance request for postage machine. Acts as liaison between executive administration, other departments, employees, medical staff and outside agencies, including managing calendars, facilitating meetings and appointments, making travel arrangements, managing email announcements, and assisting with software. Responsible for arranging, facilitating and taking and maintaining minutes for various department meetings, including sending notices to Physicians, compiling Agenda items for distribution, and preparing power point presentations. Assists the Chief Executive Officer, Chief Nursing Officer and Director of Financial in routine daily duties as needed, including screening calls and visitors, managing and creating correspondence, maintaining calendars, and making travel arrangements as required. Performs routine secretarial duties, including ordering supplies and updating department software. Maintains calendar of conference room schedules, making sure copy machine has paper and other essentials, maintaining executive office supply and snack area
