Our Grants Department has an opening Business Systems Analyst 3 that will be responsible for administration of The Council's Grants Management system. This position will be a part of The Council's Information Services department.About the Department:The Grants Department provides grants administration support for all divisions of the Council. The primary functions of the work unit are to administer the Council's Grants Program.How your work would contribute to our organization and the Twin Cities region: The Business Systems Analyst 3 -(Grant Management System Administrator) will primarily support the Council's Grants Management system on the Fluxx Grants Management System and is a Senior Analyst. This position will combine business planning expertise with information technology systems to analyze and translate departments' business requirements into system use. Successful candidates will have an in-depth, comprehensive working knowledge of an enterprise-wide application system or operational-critical system and lead projects of moderate complexity. Information systems are typically enterprise-wide and/or have a significant impact on Council's operations. The BSA 3 will exercise great latitude in determining work methods and system requirements. The BSA 3 needs to have a broad understanding of business systems, a greater degree of independent judgment exercised and autonomy and responsibility to perform more complex modifications and configurations within the system. This position will have a significant role in system analysis, problem identification, and the recommendation/ implementation of solutions to high-level management. The BSA 3 may lead organization-wide teams on system implementation projects and serve as a champion for business process improvements. What you would do in this jobThe Grants Administrator is responsible for managing the full lifecycle of grants using the Fluxx Grant Management System. This role ensures accurate data entry, workflow management, compliance monitoring, troubleshooting, and timely reporting. The Administrator will serve as the primary system expert, supporting staff, grantees, and leadership in maximizing the use of Fluxx for efficient and transparent grant managementKey ResponsibilitiesMaintain, update, and monitor grant records in Fluxx, ensuring data integrity and accuracy. Configure and manage workflows, forms, and templates within Fluxx to support grantmaking processes.Manage user roles, permissions, and access for staff and external grantees.Troubleshoot system issues, errors, or access problems for staff and grantees; coordinate with Fluxx support or IT as needed.Application & Award Administration.Oversee the intake and processing of grant applications through the Fluxx portal.Coordinate application reviews and approvals, ensuring proper routing and documentation.Set up and track grant awards, contracts, budgets, and disbursement schedules within the system.Compliance & ReportingMonitor grantee reporting requirements (narrative and financial) and follow up on overdue submissions.Ensure compliance with funder, legal, and organizational guidelines.Generate reports and dashboards in Fluxx for leadership, board members, and external funders.Support audits and site visits by pulling required documentation from Fluxx.Financial OversightRecord and reconcile disbursements and payment schedules in Fluxx.Work with the finance team to ensure expenditures align with approved budgets and compliance requirements.Provide grant-related financial data for internal and external reporting.Training, Support & Troubleshooting.Act as the primary point of contact for staff and grantees using Fluxx.Provide training, technical assistance, and guidance on system use.Diagnose and resolve user issues quickly, including login errors, form submissions, workflow glitches, or missing data.Develop and maintain user guides, FAQs, and troubleshooting documentation for Fluxx users.Complete other duties as assigned. Applies analytical methods to develop information needed to evaluate current operations such as work distribution charts, flow charts, process-and-operation charts trends and costs.Research best practice models for business processes and administrative systems within and outside the public sector. Models include process design, performance measurement, technology (web-based solutions), and other efficiencies.
