Responsibilities

  • Oversee smooth daily operations of the front office, including greeting visitors, answering calls, managing mail, and maintaining organized spaces.
  • Manage phone system functions such as call routing, night/day ring settings, and professional handling of incoming calls.
  • Coordinate office purchasing, monitor administrative budget, and ensure all office supplies and common areas are stocked and presentable.
  • Maintain and update procedural manuals, Outlook contact groups, Board handbooks, and other organizational materials.
  • Provide administrative support through database updates, report preparation, acknowledgement letters, and campaign mailings.
  • Assist in preparing, reconciling, and reviewing expense reports, credit card reconciliations, and departmental billing records.
  • Support executive-level functions as backup to the CEO’s Executive Assistant, including calendar management, travel coordination, and visitor admittance.
  • Partner with development and fundraising teams by sharing community announcements, preparing reports, and supporting event logistics.
  • Manage building maintenance requests, set up audiovisual equipment for meetings, and coordinate distribution of cards, gifts, and resource materials.
  • Maintain security protocols by updating contact lists, supporting security-related events, tracking funding requests, and coordinating with law enforcement partners.

Qualifications

  • Strong computer skills using Microsoft Office Suite and Adobe Acrobat Pro.
  • Proficiency with Zoom and Teams teleconferencing and Owl camera setup.
  • Computer savvy to navigate Microsoft SharePoint, Planner and One Drive.
  • Experience working with C-Level executives required, with demonstrated ability to manage multiple priorities effectively.
  • Experience with travel coordination and project management required.
  • Excellent interpersonal and communications skills required.
  • Must be detail oriented, have a proactive workstyle, and strong organizational skills.
  • Ability to maintain confidentiality of information.
  • Thrives working in a fast-paced environment independently with limited supervision and demonstrates the ability to anticipate needs.
