Core Responsibilities

Provide comprehensive administrative support to executive leadership, including calendar management, travel arrangements, and meeting coordination.

Act as a primary point of contact between executives and internal / external stakeholders, ensuring timely and effective communication.

Prepare, review, and edit fundraising material, correspondence, reports, presentations, and other documents as needed.

Manage confidential information with discretion and maintain a high level of professionalism at all times.

Coordinate and schedule meetings, conferences, and events, ensuring all logistics are handled efficiently.

Supporting Responsibilities

Assist with project management tasks, tracking deadlines, deliverables, and follow-ups to ensure objectives are met.

Conduct research and compile data to support executive decision-making processes.

Handle expense reports, invoices, and budget tracking for executive offices.

Support onboarding and orientation processes for new team members reporting to executives.

Continuously identify opportunities to improve administrative processes and enhance executive productivity.

Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.

Proven ability to work independently and remotely, managing multiple priorities in a fast-paced environment.

Exceptional organizational and time management skills with keen attention to detail.

Strong written and verbal communication skills.

Demonstrated discretion in handling sensitive and confidential information.

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Slack).

Ability to anticipate needs and proactively solve problems.

Experience supporting executive-level management.

Strong interpersonal skills and the ability to build relationships across all levels of the organization.

Flexibility to adapt to changing priorities and business needs.
