Human Resources Administrative Assistant

Initial point of contact for HR-related queries from employees and external partners. Main administrative duties include maintaining personnel records, managing HR documents (e.g. employment records and onboarding guides) and updating internal databases. Must have experience with HR procedures and the ability to effectively and efficiently multitask various administrative tasks in a timely manner. Responsible for preparing and providing various reports and analytics for the organization within the HR Department. Provide administrative support to the HR Department as directed to include record-keeping, file maintenance, and HRIS entry; ensure the HR Department supports employees while conforming to labor laws. Essential functions include organizing and maintaining personnel records, updating internal databases, preparing monthly employee census, answering routine employee queries about HR-related issues, acting as a resource for payroll/HR contacts, scheduling meetings and interviews, performing clerical functions, ordering company supplies, preparing new-employee files, preparing correspondence, assisting with the recruiting process, providing onboarding and employee assistance, assisting in processing multi-state payroll, understanding and interpreting benefit designs and plans, identifying and staying current on legal requirements and government reporting regulations affecting HR, and keeping immediate supervisor advised of potential problem areas. Required education and experience include an associate's degree in human resources or related field or four years of related experience or any equivalent combination of education and experience that provides the required knowledge, skills and abilities. Computer literacy (MS Office applications, in particular) is also required. Must have the ability to learn HRIS, Benefit and Payroll systems. Preferred education and experience include ADP experience strongly preferred. Physical demands include talking or hearing, standing, walking, using hands to finger, handle or feel, reaching with hands and arms, lifting and/or moving up to 15 pounds and occasionally lift and/or move up to 55 pounds, and having sufficient vision. Skills include exemplifying the desired culture and philosophies of the organization, ability to work independently and as part of team, ability to recognize onsite risk factors and take appropriate action, detailed oriented with a tenacious focus on results, ability to communicate effectively and sensitively in a diverse workforce population, ability to remain calm and adhere to professionalism at all times in the workplace, global and cultural awareness, customer service experience, experience dealing with confidential materials, excellent organizational skills, strong analytical and problem solving skills, superior verbal/written skills and presentation skills, good punctuation, spelling, grammar and attention to detail, and strong interpersonal skills. This position has no direct reports and operates in a professional office environment. This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m. Little to no travel is expected for this position.
