The Document Control Administrator (HSE) is responsible for managing, maintaining, and ensuring compliance of all Health, Safety, and Environmental (HSE) documentation. This role supports regulatory compliance, internal audits, and continuous improvement by ensuring accuracy, accessibility, and proper handling of controlled documents.
Responsibilities:
Maintain, organize, and update HSE documentation, including policies, procedures, safety manuals, training records, incident reports, and compliance certificates. Ensure controlled documents are current, accurate, and compliant with company and regulatory standards. Manage document distribution, version control, and archival in accordance with established procedures. Support internal and external audits by providing requested HSE documentation promptly and accurately. Track and monitor document review dates, ensuring timely updates and renewals. Assist HSE team members with the preparation, formatting, and issuance of new or revised documents. Provide administrative support for HSE meetings, including agenda preparation, minutes, and recordkeeping. Train and guide employees on proper use of the document control system and HSE documentation requirements. Identify opportunities to improve document control processes and support digitalization initiatives. Requirements:
Previous experience in document control, administrative support, or records management (HSE experience strongly preferred). Knowledge of HSE standards, compliance requirements, and regulatory documentation. Proficiency in Microsoft Office Suite and document management systems. Strong organizational skills with keen attention to detail and accuracy. Ability to handle confidential information with discretion. Excellent communication and interpersonal skills. Preferred:
Experience in oil & gas, petrochemical, or industrial environments. Familiarity with ISO 14001, ISO 45001, or other HSE management systems.
