Community Association Manager
to join our team.
Purpose:
The Community Association Manager oversees all Homeowner Association operations in collaboration with the Community General Manager and the Food & Beverage and Lifestyle Department managers. The Community Association Manager ensures the property is maintained and operated in accordance with company objectives and facilitates solutions to problems between the community and internal support staff, guided by precedent and working within the limits of established policies. The Community Association Manager oversees the administrative functions of the Community and effectively manages a team of administrative, front desk, lifestyle, maintenance, compliance and fitness center personnel. Responsibilities and Accountabilities
Community Appearance:
Provide oversight and direction to the Community Appearance Coordinator in scheduling landscape/irrigation and lot turnovers on a weekly basis, and managing subsequent warranty/work orders. Work closely with the Maintenance Manager and Community Appearance Coordinator to ensure daily, weekly and monthly property inspections are performed. Oversee the work order process, ensure timely completion of work, and maintain clear communication with homeowners. Manage the violation and architectural review process. Ensure amenities are maintained to the highest standard and assist the Maintenance Manager in developing janitorial schedules. Manage vendor partners to ensure contract specifications are adhered to or exceeded, and ensure vendor reports are received monthly. Schedule team meetings with Department Managers, the Community General Manager and the Association Board of Directors to provide timely updates on community appearance and opportunities for improvement. Financial Management:
Prepare draft annual budget and monitor budget variances; assist in preparing monthly deficit funding statements. Work closely with the General Ledger Manager and on-site accounting support to ensure accurate coding of invoices, timely presentation of financial statements and prompt payment of vendor invoices. Manage accounts receivable collections per Board-approved policy. Coordinate with the Community CPA to answer audit queries and ensure timely delivery of annual financial statements and federal tax returns. Process the return of deposits held after inspection of homeowner architectural improvements. Ensure P-Cards receipts and reconciliations are performed weekly. Administrative:
Prepare weekly and monthly management reports; complete and review community checklists with Regional Director monthly. Respond promptly to resident communications in alignment with Latitude Margaritaville brand requirements. Manage and maintain community databases (work orders, task lists, rental lists, homeowner information, pets, assets, architectural improvements, violations, logs, etc.). Ensure compliance with statutory renewals and required permits (e.g., pool permits). Prepare meeting notices and draft meeting minutes in compliance with state statutes. Manage contract renewals and RFP processes; facilitate FirstCall and prepare weekly communications (Tiki Talk). Human Resources:
Perform annual performance evaluations for direct reports; conduct monthly safety meetings; participate in mandatory compliance courses; provide coaching and counseling; prepare job descriptions and manage recruitment processes; review payroll-related reports and process adjustments; ensure new hire onboarding aligns with brand standards; address other tasks as assigned by leadership. Technical competencies / Education & Training:
Bachelors Degree in Business or related field preferred; five years of experience in Community Association, Property Operations, Hospitality or Construction or equivalent combination of education and experience. Experience/Knowledge/Abilities:
Knowledge of Florida Statutes and community documents; financial acumen for cash flow and capital projects; landscape and irrigation concepts; strong organizational, leadership and interpersonal skills; problem solving and decision-making abilities; ability to work under pressure and both independently and in a team; ability to respond to emergencies; comfort with confidential information; knowledge of building mechanical systems is a plus. Computer Literacy:
Proficient in Windows and Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with financial/accounting software preferred. Special Requirements:
Physical ability to lift up to 50 lbs; standing, walking and occasional climbing; extended computer use; long or irregular hours including weekends and events; outdoor work; ability to detect emergency alarms; ability to travel as needed. Compensation/Work Schedule:
$85,000 $90,000 annually; Full-Time (Monday Friday); comprehensive benefits including medical, dental, vision, holidays, bonus potential, cell phone allowance, and 401k with company match. Disclaimer:
