Local company is seeking a Executive Admin to help support an new Executive leader What will you be doing? Performs advanced, diversified, and confidential secretarial and administrative duties requiring broad and comprehensive experience for senior management and executives. Requires continuous use of technical and business vocabulary and a detailed knowledge of organizational operations, procedures, and personnel. Composes and initiates correspondence and memoranda and prepares presentations. Schedules and maintains a calendar of appointments, meetings, and travel itineraries, and coordinates related arrangements. Prepares and distributes minutes of meetings. Essential Functions: Management reserves the right to add, modify, change, or rescind the work assignments of different positions and to make reasonable accommodations so that qualified employees can perform the essential functions of the job. Provides diverse and advanced administrative support for top executives of the company. Regularly interfaces with internal and external contacts, executives, and top management of the company. Handles administrative assignments of a confidential or complex nature requiring considerable use of discretion. Schedules and organizes meetings and travel arrangements. Coordinates assignments, vendors, and materials. Prepares reports, agendas, presentations, communications, board packages, and other materials. Edits publications, reports, and other communications. Serves as backup administrative support. Provides research and analyzes information for highly sensitive projects and assignments that require an advanced knowledge of company practices, policies, and programs. Other job-related duties as assigned. What tools would you be using? Knowledge of: Planning and organizing; advanced knowledge of current Microsoft Office products; rules of grammar; practices of document preparation; modern office practices and procedures. Skill in: Managing work; communicating clearly both verbally and in writing; completing basic mathematical calculations; interacting with board members and top executives, the public, and other employees effectively and courteously; working on multiple tasks simultaneously and meeting deadlines; operating a personal computer and standard software. Minimum Qualifications: Education Level: High School Diploma or GED equivalency. Experience: 10 years of experience as an administrative assistant or similar position to include experience with managing and coordinating meetings and handling sensitive information. Preferences: Advanced level of education. Any work-related experience resulting in acceptable proficiency levels in the above Minimum Qualifications is an acceptable substitute for the above-specified education and experience requirements.
