The Medical Front Desk Receptionist is responsible for greeting lobby visitors, answering, screening, and transferring telephone calls for the agency, providing information, assisting patients with appointments, and checking insurance eligibility. This position reports to the Front Desk Lead.

Duties And Responsibilities

  1. Schedule, reschedule, and/or cancel appointments in accordance with AACI’s Appointment Scheduling Policy.
  2. Answer all Call Center incoming calls, screen or forward calls, provide information, take messages, or schedule appointments.
  3. Check insurance and verify eligibility information.
  4. Greet persons entering the lobby, determine the nature and purpose of the visit, and direct or escort them to specific destinations.
  5. Monitor calls on hold to prevent long wait times.
  6. Relay patient questions, requests, and other messages to the appropriate person/department.
  7. Collect, update, and verify all pertinent patient demographic and insurance information.
  8. Communicate regularly with the supervisor on the status of operations, patient access, medical records, insurance coverage updates, and related issues.
  9. Resolve patient inquiries, complaints, or concerns regarding their accounts or appointments.
  10. Collect payments from patients in accordance with AACI’s policies of handling cash.
  11. Complete other related duties and projects as assigned.

Education & Experience

  1. High school diploma, GED, or equivalent required.
  2. Minimum of one year of experience in a healthcare environment or knowledge of community primary care and mental health outpatient operations.

Knowledge, Skills, & Abilities

  1. Customer service experience and ability to provide high-level customer assistance.
  2. Computer skills including proficiency in data entry, internet use, and Microsoft Office applications.
  3. Excellent verbal communication skills, ability to maintain confidentiality and privacy of information.
  4. Fluency in English required; bilingual skills in a second language (particularly Spanish) are desired but not required.
  5. Ability to maintain confidentiality and privacy of information.
  6. Ability to adapt to change and ask clarifying questions when necessary.
  7. Effective communication with people of diverse cultural, professional, and experiential backgrounds.
  8. Ability to establish and maintain effective work relationships as part of a multidisciplinary team.

Working Conditions

Work is conducted in an office environment inside a standard clinic setting. Basic safety precautions and use of protective clothing or gear are required. Extensive interaction with the public may be required. Occasional evening and weekend work is expected.

Physical Requirements

The physical demands include talking, hearing, sitting for extended periods, and occasionally standing or walking. The mental demands include comprehension, reasoning, decision-making, data analysis, organizing, reading, writing, and resilience.
