Receptionist (Administrative)


This individual in the Receptionist role is responsible for ensuring CORE Health clients and guests feel welcome upon entering the facility. The Receptionist will answer inquiries and provide information to the public, customers, visitors, and other interested parties regarding activities conducted at the establishment and the location of departments and offices within the organization. Duties include operating telephones to answer, screen, or forward calls, providing information, taking messages, and scheduling appointments. They will also greet persons entering the establishment, determine the nature and purpose of their visit, direct or escort them to specific destinations, and maintain and update appointment calendars.

Typical Work

  1. Operate telephone to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments;
  2. Greet persons entering the establishment, determine the nature and purpose of visit, and direct or escort them to specific destinations;
  3. Schedule and cancel appointments and maintain and update appointment calendars;
  4. Hear and resolve complaints from customers or the public;
  5. File, scan, and upload clinical documents and releases of information (ROI's);
  6. Receive payment and record receipts for services;
  7. Transmit information or documents to customers using computer, mail, or facsimile machine;
  8. Analyze data to determine answers to questions from customers or the public;
  9. Collect, sort, distribute, or prepare mail, messages, or courier deliveries;
  10. Provide information about the establishment, such as the location of departments or offices, employees, or services provided;
  11. Keep a current record of staff members' whereabouts and availability;
  12. Perform duties to maintain the lobby or reception area appearance.

Additionally, the Receptionist must:

  • Comply with all HIPAA and 42 CFR privacy and security regulations;
  • Perform other work as required.

Qualifications

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology;
  • Outstanding customer service skills;
  • Effective communication skills, both oral and written, in group and individual settings;
  • Ability to work in a team-based environment;
  • Establish and maintain effective interpersonal relationships with customers, peers, management, partners, community-based organizations, private employers, and other agencies;
  • Ability to work with diverse populations;
  • Adaptability to a fast-paced environment and change;
  • Knowledge of HIPAA and 42 CFR regulations;
  • Must be able to lift up to 25 pounds;
  • Must be able to sit at a computer for prolonged periods.
