Overview
Under the direction of the Vice President of Human Resources, the Human Resource Specialist provides assistance with and facilitates the human resources processes for the college. This role provides support to the human resource function as needed, including recruitment, employment, onboarding, state retirement reporting, performance management, compliance, policy implementation, record-keeping, file maintenance, and HRIS entry and database management. The Human Resources Specialist is dedicated to the learning college concepts by developing programs and facilitating activities that promote student success and lifelong learning.
Essential duties and responsibilities
Essential duties and responsibilities include the following. Other duties may be assigned.
- Assists with managing postings, tracking status of candidates in HRIS, and handling correspondence with applicants in the college’s applicant tracking system.
- Update HRIS database records and process forms and required information for new hires, terminations, and other status changes; prepare new-employee files and maintain employee personnel files.
- Submits the online applicant investigation requests and assist with new employee background checks.
- Prepares and submits information regarding new hires, verification of prior service, separations, retirements, and other required information to the State Universities Retirement System (SURS).
- Ensures compliance with USCIS Form I-9 Employment Eligibility Verification and maintains I-9 files; periodically audits Forms I-9.
- Assists the Manager of Compensation & HRIS with position management, maintenance, and testing of the HR/Payroll system; and assists with needed set-up and maintenance for the assignment contracts system each semester.
- Assists the Manager of Compensation & HRIS with reclassifying and correcting FICA / SURS deductions for all part-time faculty; and assists in maintaining faculty-related load tracking spreadsheets.
- Performs payroll-related audits and reconciliations to ensure accuracy of employees’ leave time.
- Monitors absenteeism reports and ensures proper documentation is issued on employees who have excessive absenteeism problems. Track and prepare reports.
- May assist with the recruitment and interview process as needed, including reviewing applications, serving on search teams, attending job fairs, conducting reference and background checks and with arranging interviews, travel, and lodging for selected applicants.
- May assist with distributing and monitoring employee performance evaluations and ensuring they are done in a timely manner.
- Performs customer service functions by answering employee requests and questions; and assists with or prepares correspondence as requested.
- Assist the VP/CHRO and Managers in preparation and implementation of special projects, programs and state/federal reports; and assist with other duties as assigned.
Education/Experience
Minimum requirements: A Bachelor’s degree in human resources or related field is required. A minimum of three (3) years of human resources or related experience is required. Experience with Human Resources Information System (HRIS) and Applicant Tracking (ATS); experience in an educational institution; and bilingual skills are preferred.
