About the Role:

The Receptionist at SSC serves as the first point of contact for visitors and clients, playing a crucial role in creating a welcoming and professional environment. This position is responsible for managing front desk operations efficiently, including greeting guests, handling incoming calls, and coordinating appointments. The role requires excellent organizational skills to manage multiple tasks simultaneously while maintaining a calm and friendly demeanor. The Receptionist will also support administrative functions by managing correspondence, maintaining records, and assisting with office logistics. Ultimately, this position ensures smooth communication flow and contributes to the overall positive experience of all stakeholders interacting with the organization.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience in a receptionist or front desk role.
  • Proficiency in using office equipment such as telephones, computers, and printers.
  • Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook).
  • Strong communication and interpersonal skills.

Preferred Qualifications:

  • Experience with customer service in a corporate or service environment.
  • Familiarity with scheduling software and office management systems.
  • Training in conflict resolution or customer relations.

Responsibilities:

  • Greet and welcome visitors in a courteous and professional manner, ensuring a positive first impression.
  • Answer, screen, and forward incoming phone calls promptly and efficiently.
  • Manage the scheduling of appointments and maintain the front desk calendar.
  • Handle incoming and outgoing mail and deliveries, ensuring proper distribution.
  • Maintain the reception area’s cleanliness and organization to uphold a professional appearance.
  • Assist with administrative tasks such as data entry, filing, and document preparation as needed.
  • Coordinate with other departments to facilitate smooth office operations and communication.
