We are seeking an
experienced Administrative Assistant
with a proven background in
office or administrative work
to handle incoming calls, greet visitors, and perform a wide range of clerical and administrative tasks that support both production and business operations.
Duties/Responsibilities:
Professionally greet and welcome visitors in an office environment, ensuring a courteous and efficient experience. Answer and direct incoming calls promptly using a multi-line phone system. Maintain a tidy, organized reception and office area. Provide accurate information to visitors and direct them to appropriate personnel or departments. Receive, log, and distribute incoming and outgoing mail and packages. Assist customers with item pick-ups and coordinate with the warehouse as needed. Contact customers regarding past-due pick-ups and freight issues. Organize and coordinate office events and functions. Order, receive, and maintain office supplies, first aid supplies, and other materials required for daily business operations. Schedule outside vendor services as needed. Print and scan documents such as packing slips, invoices, purchase orders, and labels. Facilitate dock searches with warehouse staff and maintain related records. Process and distribute production-related reports. Perform accurate data entry and maintain office records. Provide administrative support to team members, including scheduling, documentation, and correspondence. Handle sensitive and confidential information with discretion and professionalism. Perform other office and administrative duties as assigned. Requirements
Previous office or administrative experience required
(manufacturing or related business office environment preferred). Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and general office equipment/systems. Excellent organizational and time management skills. Strong ability to prioritize multiple tasks and meet deadlines. Professional written and verbal communication skills. Self-motivated, detail-oriented, and able to multi-task in a fast-paced office setting. Ability to lift up to 30 lbs occasionally. Comfortable reviewing and analyzing routine business documents using a computer and other office tools. Ability to follow written and verbal instructions accurately. Punctuality, reliability, and a professional demeanor are required. *Specific duties and requirements may vary based on the employer and the production workload.
