Job Description

The Administrative Assistant for the Operations team provides essential support to the Chief Operating Officer (COO), working with their Executive Assistant to ensure the department runs smoothly and efficiently. This role is responsible for a variety of administrative and clerical tasks, helping to manage daily workflows, maintain accurate records and track KPIs (key performance indicators). The ideal candidate is highly organized, self-motivated, detail oriented, and a proactive problem solver. Salary expectations TBD based on experience.


Key Responsibilities:


• Manage day-to-day administrative tasks
• Collaborate closely with the Executive Assistant to manage and coordinate priorities
• Maintain and organize operations-related files, records, and databases; assist in the preparation of reports, presentations, and other documents, including daily reports which track operational performance
• Serve as a point of contact for internal and external stakeholders as necessary, maintaining a level of professionalism, answering questions and directing inquiries to the appropriate team members
• Prepare accurate and professional correspondence, spreadsheets, and various reports as needed
• Track project progress, monitor deadlines, and support execution across assigned initiatives
• Handle confidential and/or sensitive information with discretion

Required Skills and Experience:


• Proven experience as an Administrative Assistant or in a similar role
• Exceptional interpersonal and relationship-building skills, with the ability to interact effectively at all levels of the organization
• Strong problem-solving skills with a solution-focused mindset
