Job Summary

The Student Office Assistant plays a vital role in supporting the operations of Housing and Residential Life (HRL) at UM-Flint. This position provides assistance in office administration, residence life, conference services, and guest housing. The ideal candidate demonstrates confidentiality, professionalism, strong communication skills, and a commitment to fostering a positive community.

Responsibilities*

Office Operations Maintain scheduled office coverage. Answer and route phone calls to HRL staff or campus departments. Provide accurate and courteous information to students, guests, and visitors. Maintain daily logs of student/guest inquiries, walk-ins, and calls. Operate standard office equipment (e.g., printer, copier, fax, laminator). Assist with departmental marketing efforts and updating digital tracking tools (e.g., spreadsheets, Google Sheets). Support the check-in/check-out process for residents and guests. Provide campus tours and assist with guest/resident access issues. Create and distribute welcome information for UM-Flint and downtown Flint. Attend staff meetings and 1:1 check-ins with supervisors. Become familiar with HRL and campus emergency protocols. Conference & Guest Support

Prepare access cards for conference check-ins. Assist in preparing guest spaces (e.g., making beds, assembling linen packets, hanging shower curtains, ensuring room readiness). Support conference administrators during check-in/out processes. Respond to the needs of conference guests. Conduct post-conference room assessments and remove trash and used linens. Resident Support

Assist with move-in and move-out processes during spring, summer, and fall terms. Report and follow up on maintenance concerns. Model appropriate behavior aligned with university policies and community standards. Monitor student wellness and report concerns appropriately. General Expectations

Serve as front desk assistant and maintain scheduled office hours. Actively monitor and respond to HRL and campus communications. Represent HRL professionally at events (e.g., orientation, resource fairs). Maintain a clean and organized workspace. Adhere to the Code of Student Conduct and Community Living Standards. Serve as a mandatory reporter (Clery Act) and responsible employee (Title IX), reporting incidents in accordance with university policies. Perform other duties as assigned. Required Qualifications*
