Summary/Objective: The Contracts Coordinator supports the operations team by managing contract documentation, ensuring compliance with legal and regulatory standards, and facilitating communication between internal departments, subcontractors, vendors, and clients. This role is essential to maintain the integrity and efficiency of contract processes throughout the project lifecycle. You support the five pillars of success: safety, quality, client satisfaction, schedule, fair and reasonable profit earned.

Client Satisfaction - are we communicating well with Harper teammates? Do we work professionally with external partners? Schedule - do we follow up in a timely manner? Do our practices promote the project schedule? Fair and Reasonable Profit Earned - are we promoting quick contract turnaround/execution to limit reliance on less cost-effective options? Do our systems use Harper's time/money efficiently? Essential Functions:
Contract Administration
Draft, review, and revise contracts, amendments, and related documents with Clients. Draft, review, and revise subcontracts, purchase orders, and field service agreements with Trade Partners. Ensure contracts are complete, accurate, and comply with company policies and legal requirements. Support Administrative Services Director in contract review/tracking. Track contract milestones, deadlines and renewal dates. Support Administrative Services Director with Contract/RFP document reviews and project start-up support. Work with Insurance Partners and Surety agencies in providing the correct insurance and bonds for Projects being performed by Harper. Negotiate with Trade Partners to finalize Master Agreements used between both parties for current and future work endeavors. Additional projects and duties to assist managers within the department. Make recommendations for the development and revision of risk management documents, procedures, and forms; assist in the development of policies, and regulations.
Document Management
Track internal compliance with contract execution policies. Maintain organized records of contracts and related correspondence. Manage digital and physical filing systems for easy retrieval and audit readiness.
Compliance and Risk Management
Monitor contract compliance with internal policies and external regulations. Assist in identifying and mitigating contractual risks.
Communication and Coordination
Serve as a liaison between internal departments (Operations, Executive Leadership, Preconstruction, etc.) and external Trade Partners and Clients. Respond to inquiries regarding contract terms, obligations, and procedures.
Reporting and Analysis
Generate reports on contract status, performance metrics, and key dates. Support audits and internal reviews by providing contract documentation and summaries.
Process Improvement
Recommend improvements to contract workflow and systems. Help implement contract management software or tools.
Continuing Education
Maintain industry knowledge to create best practices related to contract review.

Required Experience/Education:
2+ years of experience in contract administration, preferably construction. Proficient in Microsoft Office Suite or similar software. Familiarity with construction terminology and legal requirements. Preferred Experience/Education:
BA in business administration or a related field. Experience in Procore Project Management Software. Work Environment: Typical office hours (Monday - Friday, 8 AM - 5 PM) plus additional nights/weekends for networking events and conferences. Hours may vary depending on demand. 80% Sitting, 20% standing or walking.
Physical Demands: Typically, the employee may sit comfortably to perform the work. No special physical demands are required to perform the work, but usually involves prolonged periods of sitting at a desk and working at a computer. However, there may be some walking, standing, bending, and carrying of light items such as papers, books, small parts, driving an automobile, etc. While this work typically is not physically demanding, it can be mentally demanding, with many deadlines needing to be met consistently.
Travel Required: 5% or less to visit direct reports as required and corporate events. Most trips will be day trips. Valid US driver's license required.
