Job Description Summary

The Transfer Credit Evaluator and ASSIST Coordinator is responsible for the implementation, maintenance, and support of articulation agreements and transfer information within the ASSIST database. This position serves as the campus liaison to the ASSIST Coordination Site (ACS) and ensures that articulation data is current, accurate, and accessible to students, counselors, and faculty. As the Transfer Credit Evaluator, this position is also responsible for reviewing and evaluating incoming transcripts for transfer and advanced placement credit, processing credit for continuing students, and ensuring compliance with institutional policies and academic standards. Duties include entering evaluated credits into Banner, assisting with non-traditional credit (AP, IB, CLEP, military), and resolving discrepancies related to transfer credit. The evaluator collaborates with Admissions, Advising, and other campus partners to ensure a smooth transfer experience for students. Responsibilities also include performing additional tasks and miscellaneous projects assigned.

Minimum Qualifications Knowledge of degree conferral policies and best practice. Knowledge of DegreeWorks, Banner and Transfer Evaluations Systems (TES). Minimum 2 years experience working in a Registrar's Office. Preferred Qualifications

Familiarity with the California Community Colleges (CCC), California State University (CSU), and University of California (UC) systems. Experience working with the ASSIST system. Experience coordinating projects across multiple departments or institutions. Benefits Summary

Transfer Credit Evaluations:

Evaluate official transcripts to verify accreditation status and transferability of coursework. Utilize online or hard copy catalogs, Assist.org and other CSU/IGETC materials, and ACE accreditation guides to research accreditation and applicability of transfer work toward La Verne degree requirements, and use the Banner Articulation Module to perform articulation of transfer work. Work in coordination with the La Verne Transfer Center, Faculty and Professional Advisors, and with the Articulations staff at transfer institutions to research coursework not previously evaluated. Ensure integrity of all data contained in each student's Banner record, including accuracy of transfer credit records, as well as curriculum, student information, and registration records. Work with Undergraduate Admissions and Regional Campus Administration to verify data contained in the Banner student record; make corrections and updates to Banner as needed to reflect accurate student data. Evaluate official transcripts to verify accreditation status and transferability of coursework. Utilize Banner Articulation Module, online or hard copy catalogs, and ACE accreditation guides to research accreditation and applicability of transfer work toward La Verne degree requirements. Work in coordination with the La Verne Transfer Center, Faculty and Professional Advisors, and with the Articulations staff at transfer institutions to research coursework not previously evaluated. Utilize Banner to make adjustments to individual student DegreeWorks reports based on Faculty approved major substitutions and changes to major requirements, major or minor contracts, and GE or transfer credit appeals. Verify that changes have been accurately processed by running and auditing new reports; notify advisor and/or student when revised reports are available for viewing via Banner or MyLaVerne. Specific Duties

ASSIST Coordination

Serve as the primary point of contact for all matters related to ASSIST on behalf of the institution. Collaborate with articulation officers, transfer evaluation team, academic departments, and IT personnel to manage articulation data submissions. Coordinate the annual update and verification of course articulation agreements in the ASSIST system. Ensure accuracy and consistency in articulation data between ASSIST, University of La Verne catalog, and internal advising systems. Monitor ASSIST timelines and ensure the institution meets all deadlines for data submission and review. Provide training and technical assistance to faculty and staff using the ASSIST system. Communicate updates, system changes, and new initiatives from the ASSIST Coordination Site (ACS) to relevant campus stakeholders. Participate in regional or statewide articulation meetings, workshops, and professional development events. Develop and maintain procedural documentation related to ASSIST coordination and articulation processes. Support transfer-related initiatives and student success efforts as needed. Percentage Of Time 45%

Use Banner to maintain and update student academic history, including the verification and processing of grade changes, academic appeals, course challenges and certifications, and the entry of hard copy transcripts into the online system. Support the Evaluations Staff as needed by logging incoming admission packets, transcripts, and Applications for Graduation into Access database logs; create Registrar folders for new or returning students; work with Undergraduate Admissions and Regional Campus Administration to ensure all files have been properly received, inventoried and stored. Prepare hard copy documents for permanent storage, scanning, destruction, or return to admissions location. Perform clerical tasks including, but not limited to, word processing, photocopying, filing, faxing, and general office duties. Other tasks as assigned by the Assistant Registrar and/or Associate Registrar.
