We are looking for a highly organized and proactive Sr. Administrative Assistant to join our team on a Contract-to-Permanent basis. In this role, you will provide vital support to senior management by coordinating schedules, managing travel arrangements, and facilitating efficient communication. Based in Houston, Texas, this position offers an opportunity to contribute to process improvements and ensure smooth administrative operations within a dynamic manufacturing environment.
Responsibilities:
• Manage and coordinate executive calendars, ensuring seamless scheduling and timely appointments.
• Handle inbound and outbound communications, including phone calls and emails, with professionalism and discretion.
• Arrange and oversee domestic and international travel plans, including flights, accommodations, and itineraries.
• Prepare and reconcile expense reports, ensuring accuracy and compliance with company policies.
• Support the preparation and distribution of reports, presentations, and other documentation for senior leadership.
• Assist in planning and organizing meetings, including preparing agendas and managing follow-up tasks.
• Collaborate with other administrative staff to provide cross-functional support as needed.
• Identify and implement process improvements to enhance administrative efficiency.
• Uphold and promote company safety standards in all administrative activities.
• Occasionally provide support outside standard business hours to accommodate urgent needs.• Proven experience in a senior administrative or executive assistant role.
• Strong proficiency in scheduling and calendar management for senior leadership.
• Demonstrated ability to handle inbound and outbound communications with professionalism.
• Expertise in booking complex travel arrangements and managing itineraries.
• Proficiency in preparing and reconciling detailed expense reports.
• Exceptional organizational skills with the ability to multitask and prioritize effectively.
• High level of discretion and confidentiality in handling sensitive information.
• Strong problem-solving skills and a proactive approach to challenges.
