We are looking for a detail-oriented Administrative Assistant to join our team in Houston, Texas. In this Contract-to-Permanent position, you will play a pivotal role in supporting key administrative functions, ensuring smooth day-to-day operations. The ideal candidate will have exceptional organizational skills and a proactive approach to handling diverse tasks within a dynamic service-oriented industry.
Responsibilities:
• Draft, review, and edit various documents such as letters, memos, reports, and procedures as required.
• Manage the processing and submission of invoices and ensure timely billing operations.
• Handle administrative tasks, including expense reports, supply requisitions, personnel forms, and operating budgets, with supervisor approval.
• Conduct research and prepare specialized reports, studies, and statistical analyses with minimal supervision.
• Assist in the development and implementation of training materials in collaboration with the corporate trainer.
• Interpret and administer company policies, programs, or procedures, making independent decisions when necessary.
• Document and oversee employee training processes across departments, ensuring accuracy and compliance.
• Travel between sites as needed to support employee training initiatives, with mileage reimbursement provided.
• Coordinate meetings and maintain clear communication with team members to support project goals.• Minimum of 2 years of experience in administrative support roles.
• Proficiency in handling administrative tasks such as data entry, receptionist duties, and compliance documentation.
• Strong skills in documentation, including process, configuration, project, and software documentation.
• Ability to coordinate meetings and maintain schedules effectively.
• Experience with answering inbound calls and managing office operations.
• Exceptional organizational skills with attention to detail and accuracy.
• Capability to work independently and make informed decisions.
• Willingness to travel locally between sites as needed.
