Job Overview
Reporting directly to C-level executives and providing professional executive support. Acts as the primary point of contact for internal and external partners on all matters pertaining to executives. Coordinates executive outreach, organizes external relations efforts, and oversees special projects. The EA must be creative and enjoy a fast-paced, results-driven environment and exercise good judgment in a variety of situations. Strong written and verbal communication is essential, as well as exemplary administrative and organizational skills with the ability to balance multiple executives. The role requires independent project work from conception to completion, handling a wide variety of activities and confidential matters with discretion.
Responsibilities Completes a broad variety of administrative tasks for executives including calendar management, expense reports, complex domestic and international travel plans, itineraries, agendas, and compiling documents for travel-related meetings.
Plans and ensures executives’ schedules are followed and respected; acts as gatekeeper and gateway to provide access to the executive’s time and office.
Communicates directly and on behalf of the executive with board members, clients, customers, the public, internal staff, and others on matters related to company initiatives.
Researches, prioritizes, and follows up on issues, including sensitive or confidential matters; determines appropriate course of action, referral, or response.
Works closely with executives to keep them informed of commitments and responsibilities; acts as a barometer for organizational issues and updates executives accordingly.
Ensures executives remain visible to the organization through internal social media, newsletters, corporate calendar, and other channels; researches and implements new ways for executive offices to be visible and approachable.
Provides strategic leadership to build relationships crucial to the organization and manages special projects with positive impacts.
Prioritizes conflicting needs and handles matters expeditiously, proactively following through to completion under deadline pressure.
Qualifications Bachelor's degree required.
5-10 years' experience supporting C-Level Executives.
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and Social Media platforms.
Solid IT troubleshooting knowledge for basic computer operating systems and equipment.
