$120,000.00/yr - $140,000.00/yr An innovative institute at the forefront of AI research is looking for an Executive Assistant/Office Manager to support their General Partner/Co-Founder and team. This is an exciting opportunity to join a mission-driven team of 9 who are helping researchers transform breakthroughs into real-world impact. You\'ll provide executive support to the General Partner/Co-Founder through calendar management, meeting coordination, travel arrangements, and expense tracking. Additionally, you\'ll coordinate logistics for team offsites, university visits, and manage guest speakers, including high-profile individuals. You will also oversee their temporary Menlo Park office and eventual move to San Francisco, handling vendors, ordering supplies, and greeting visitors. Someone who is a flexible team player who can anticipate needs, interact professionally with stakeholders at all levels, and adapt quickly to changing priorities. This is a primarily in-office role based in Menlo Park for the next 6 months before moving to San Francisco in early 2026. 120-140K DOE + fully covered health benefits, 401k, and unlimited PTO. Responsibilities: Manage General Partner/Co-Founders calendar by scheduling meetings, setting priorities, and handling follow-ups. Coordinate logistics for meetings, including scheduling, confirming participants, and booking locations. Arrange all travel needs for the Executive, including flights, hotels, ground transportation, and maintain current itineraries. Coordinate travel for the team when needed. Track and submit executive expense reports and manage reimbursement processes efficiently. Act as the main point of contact for administrative support across the executive team. Support event logistics for guest and speaker visits, including booking travel, accommodations, itineraries, and reimbursements for guests. Plan and coordinate internal events such as offsites, retreats, and university visits, handling all related logistics. Oversee daily office operations and manage workspace needs. Coordinate with office vendors, ordering and stocking supplies and snacks, receiving packages, scheduling contractor visits, managing deliveries, and welcoming office guests. Qualifications: 2-3 years of experience in a support role such as Executive Assistant, Coordinator, or Office Manager. Proven ability to manage office operations and coordinate small- to large-scale events. Strong organizational, time management, and scheduling skills. Willingness to take initiative and step in beyond core responsibilities when needed. Comfortable working cross-functionally and supporting multiple team members. Professional communication skills and the ability to work with stakeholders at all levels. Flexible, receptive to feedback, and able to adapt communication style when needed. Strong interpersonal awareness and emotional intelligence. Friendly, approachable, and team-oriented personality. Familiarity with tools like Ramp and Asana is preferred. Details
