Description

The Administrative Specialist III works under general supervision and is responsible for typing and providing administrative and clerical support to faculty and professional staff. The duties for this position may vary from day to day depending on the needs of the Dean of Instruction and the Faculty. This position is governed by agency/institution policy.

ESSENTIAL FUNCTIONS Essential Functions Statement(s) Acts as office receptionist in the Tech Engineering Building. Greets and directs visitors. Screens calls for the Academic Department, responds to routine questions regarding policies and procedures, provides instructions on completion of forms, and makes referrals to other sources of information as needed. Assists with maintaining the department budget. Assist instructors as needed with instructional materials including copying and collating materials. Maintains sufficient supplies for faculty and work unit by conducting physical inventory, ordering, receiving, and restocking office and lab supplies. Monitors academic calendars and keeps abreast of deadlines. Answers the phone, takes messages, and delivers messages with accuracy. Is cordial to callers requiring information as well as to visitors and assists them as needed. Notifying classes of the absence of the instructor as the need arises. Picks up, sorts, and distributes mail for faculty. Completes requisitions for goods and materials as needed by faculty. Assist with class schedules. Performs related responsibilities as required or assigned. Minimum/Preferred Qualifications

SKILLS & ABILITIES Education :

High School Graduate or General Education Degree (GED)

Experience :

Three to seven years related experience

Other Requirements Knowledge of grammar, punctuation, and spelling. Knowledge of general office procedures. Knowledge of basic record keeping procedures. Knowledge of word processing applications. Ability to operate standard office equipment. Ability to provide information and assistance to office staff, visitors, and callers. Ability to perform basic mathematical calculations. Ability to extract and organize information.
