Role Summary
The Administrative Assistant will be responsible for all administrative support. This includes calendar management, scheduling, corresponding with vendors and external partners, office management, and travel arrangements. They will primarily support the Chief Executive Officer but may also be asked to assist other members of the executive team.
Responsibilities
- Continuously schedule and coordinate meetings (setting up conference calls, scheduling meeting rooms, arranging reservations, catering, etc.), appointments, and travel arrangements.
- Prepare agenda items and schedules for meetings.
- Prepare and reset conference rooms for meetings, ensuring the space is clean, organized, and returned to a neat and orderly state after use.
- Maintain calendar for executives.
- Record, compile, transcribe and distribute meeting minutes.
- Prepare and modify documents on behalf of the executive, including correspondence, reports, drafts, presentations, memos and emails.
- Handle requests for information and data and resolve administrative inquiries as needed.
- Answer, screen and transfer inbound phone calls.
- Greet visitors and handle their inquiries or direct them to the appropriate persons according to their needs.
- Maintain electronic and hard copy filing system.
- Operate office equipment, such as copiers, and report and coordinate maintenance or equipment problems to appropriate personnel.
- Maintain office supply inventories which can include ordering, stocking, and dispensing supplies.
- Maintain a clean and organized breakroom, including restocking coffee supplies, running the dishwasher, and ensuring overall tidiness.
- Manage general clerical duties including photocopy, fax and mail.
- Sort and distribute incoming mail and prepare outgoing mail.
- Run business related errands, such as picking up office supplies and mailing packages.
- Conduct searches to find needed information, using sources such as the Internet.
- Collect and deposit money into accounts.
- Train, partner and manage other administrative staff as needed.
- Perform other miscellaneous duties as assigned.
Requirements
- 3 years of experience as an Administrative Assistant, preferably in the mortgage industry.
- Bachelor’s degree preferred, High School Diploma required.
- Proficiency in Microsoft Suite, including Excel and PowerPoint.
- Ability to use active listening skills to effectively prioritize and multi-task.
- Demonstrated ability to treat confidential information with appropriate discretion.
- Highly organized and detail-oriented, with excellent customer service skills.
- This role is based in our Frisco, Texas office and requires availability to work onsite, Monday through Friday, from 9:00 AM to 5:00 PM CST.
