Senior Billing Specialist and Client Accountant
General Position Description:
This person will oversee and perform all client accounting responsibilities including invoicing, revenue recognition based upon contract deliverables and phases of work, and client reimbursables. This highly detailed person will work closely with the partners and staff on ensuring the necessary execution of sshape’s client commitments and contract responsibilities. Key Accountabilities
Invoicing Manage monthly invoicing process, including the creation and tracking of projects in the sshape accounting system Review project progress and billing projections with partners/senior leadership team monthly Review and approve unbilled/billable project expenses, including vendor contracts and reimbursables Draft monthly invoices for review by PM teams Create lien waivers as needed Conduct monthly analysis of MEP and other subconsultant expenses with accounting/bookkeeping team Accounts Receivable Run weekly AR report and review with Partners weekly/bi-weekly Lead meetings with Partners and other members of senior leadership team to address outstanding AR matters and payment issues Accounts Payable Ensure all client payables are properly recorded in the accounting system, in coordination with all contract terms Follow up with all necessary clients and client intermediaries regarding outstanding payment status as necessary Other Financial Serve as sshape project accounting administrator, supporting client teams and subconsultants such as MEP and structural engineers Complete vendor setup for sshape clients to ensure timely payment of sshape receivables Support the Managing Partner and CFO Advisor on client profitability analysis including staff utilization Support the Managing Partner and CFO Advisor on the firm’s contract backlog and provide data for revenue forecasting Support CFO Advisor on other compliance related responsibilities Oversee staff time and expense submissions ensuring accurate and completion of time records and staff reimbursements Provide weekly updates to the Partners on client accounting matters aside from the weekly AR meeting Perform other job-related duties as assigned Further, the successful candidate will: • Possess excellent project management, customer service and business communication skills. • Be comfortable leading meetings and managing peers and senior leadership to achieve goals • Have a passion for collaboration. • Demonstrate good judgement and confidentiality. • Be proactive in managing responsibilities and issues that arise with minimal supervision. • Be a self-starter, reliable, accountable, and pay exceptional attention to detail • Remain current with all accounting software systems utilized at sshape Position Specific Standards: Bachelor’s degree or equivalent in accounting, or a related field 6+ years of project accounting experience preferably in the interior design or architectural design industry Expertise in accounting-based software; BQE CORE is current system; CMAP, Monograph or similar system(s) experience also relevant Strong analytical and problem-solving skills with the ability to analyze data and explain variances Ability to multi-task in a fast-paced environment and act with a sense of urgency Excellent time management, follow-through and organizational skills Salary Range:
