Equivalency:
Completion of a post-secondary degree or certificate may substitute for years of experience. Any equivalent combination of education, training and/or experience as approved by the Human Resources Department.

Purpose and Scope:
Under the direct supervision of the Senior Manager, the Administrative Assistant provides essential administrative and clerical support to the Technology Services and Solutions Department. The ideal candidate will coordinate daily office functions, assist with departmental communication, and support projects and initiatives that contribute to the department’s success. The Administrative Assistant plays a key role in ensuring smooth operations and effective communication, helping the department achieve its mission of supporting educational and administrative functions.
Duties and Responsibilities:
Provide comprehensive administrative support to the Chief Information Officer and departmental leadership.
Coordinate scheduling, appointments, and meetings; prepare agendas, minutes, and related materials.
Serve as a central point of contact for departmental communication, ensuring timely and professional responses to inquiries.
Prepare, proofread, and edit correspondence, reports, presentations, and other documents.
Support departmental staff by tracking deadlines, maintaining records, and assisting with project coordination.
Maintain office files, databases, and records in accordance with established policies and procedures.
Assist with monitoring departmental budgets, tracking expenditures, and processing purchase requests.
Support the coordination of departmental events, trainings, and workshops.
Manage office supplies and equipment, ensuring resources are available and properly maintained.
Assist with onboarding and orientation logistics for new employees.
Handle sensitive and confidential information with discretion and professionalism.
Perform other duties as assigned to support the overall efficiency of the Technology Services and Solutions Department.
Knowledge, Skills, and Abilities:
Knowledge of office management systems, practices, and procedures.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office technology.
Strong organizational and time-management skills, with the ability to prioritize multiple tasks and meet deadlines.
Excellent written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong interpersonal skills and the ability to work effectively with diverse staff, faculty, students, and external contacts.
Problem-solving skills and adaptability in a fast-paced, changing environment.
Attention to detail and accuracy in all aspects of work.
