Position Overview

Exemplar Financial Network’s Walworth Team is seeking a proactive Administrative Assistant to support our wealth advisors and ensure smooth daily operations. This role is ideal for someone who thrives in a fast-paced, team oriented, client-focused environment and can handle sensitive financial information with discretion.
Key Responsibilities
- Client Communication
- Serve as the first point of contact for clients via phone, email, and in-person interactions
- Schedule appointments and respond to inquiries with professionalism and care
- Scheduling & Calendar Management
- Coordinate meetings, calls, and events for Wealth Advisors
- Manage Wealth Advisors’ calendars to optimize time and workflow
- Data Entry & Record Keeping
- Maintain accurate client records in CRM, including contact and family details
- Document client interactions and send daily status reports to Admins and Advisors
- Ensure compliance with privacy regulations and internal policies
- Office Support
- Oversee office supplies, mailings, and office equipment
- Pick up and drop off mail from the post office box
- Organize physical and digital files related to client accounts and financial documents
- Client Onboarding
- Support onboarding by updating CRM, scheduling meetings, and preparing onboarding kits
- Ensure all documents are ready and organized for client meetings
- Compliance Support
- Assist in maintaining up-to-date client documentation to meet regulatory standards
- General Administrative Tasks
- Manage mailings, correspondence, and special occasion gifts for clients
- Maintain gift logs and assist with special projects and events
- Event Management & Booking
- Coordinate with venues and Admins to plan and execute client events
- Assist with invitations and event logistics
- Marketing Support
- Collaborate with Admins and Advisors to manage the marketing calendar
- Create and schedule social media posts using marketing software
Qualifications
- Education
- High school diploma required
- Associate’s or Bachelor’s degree in Business, Finance, Hospitality, or related field preferred
- Experience
- Minimum 2 years in an administrative role, ideally in financial services or a professional office setting
- Skills & Abilities
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- Ability to multitask and prioritize effectively
- Highly organized with strong time-management skills
- Discreet with confidential information
- Familiarity with financial planning concepts is a plus
- Full-time, Monday to Friday | 8:00 AM – 5:00 PM
- Office-based role with occasional evening or Saturday work for events
- Hourly Rate: Starting at $18/hour
