This job is primarily responsible for handling day-to-day office operations with a focus on customer service, efficiency, and time management. The Office Administrator will be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control and standards of professionalism. General office responsibilities including but not limited to telephone communications, filing, master scheduling, internal and external meeting logistics, and other duties as assigned. Responsible for maintaining a safe, clean, and efficient office space. In this job, you will: Develop and maintain office services by organizing office operations and procedures, controlling correspondence, reviewing, and approving supply requisitions. Serve as a member of the Team Building Committee to help establish a positive team atmosphere that supports the initiatives developed by the leadership team. Maintain coverage and expectations for answering internal and external calls. Management of the telephone system for operational and maintenance purposes. Sign for time sensitive mail and efficiently distribute all mail to appropriate personnel. Remain cognizant of daily mail trends to ensure accurate and timely delivery of USPS mail. Process and log daily checks received via overnight delivery and USPS mail; electronically deposit and verify daily deposit with the Cash Manager. Order supplies and equipment as needed. Manage relationships with service, hospitality and supply vendors/providers; reviews contracts at least annually and renegotiates as needed to meet AgFi standards and requirements. Develop and maintain files to document individual employees UPS and Landmarx expenditures. Coordinate with AgFi staff for internal and external meeting arrangements and logistics. Coordinate with incoming visitors and employees from other facilities for overnight stay accommodations with local hotels that have negotiated rates with AgFi. Effectively monitor the execution of the daily backup for operational files. Work with Facilities Manager to ensure office space is safe and operating as expected. Coordinate purchases with external vendors using company pricing guidelines for gifts - such as holiday, bereavement, anniversary and general purposes. Assist with administration tasks associated with AgFi Fleet Vehicles. Work directly with hiring manager to coordinate a welcome package for new employees to ensure a smooth transition to the AgFi Family. Special projects and other duties as assigned. High school diploma or equivalent experience and training. Preferred

Associates degree in business related field. Experience Required

2+ yrs. of office administration work experience. Knowledge, Skills, and Abilities Knowledge of office functions. Basic computer skills, including working knowledge of Microsoft Office Suite. Effective interpersonal, oral and written communication skills with the ability to interact with all levels of people within and outside the organization. Strong decision making, negotiation and conflict management skills. Strong time management and prioritization skills, with ability to remain flexible to changing priorities. Ability to work successfully both independently and as part of a team. The expected base pay range for this role is: $18.00 - $27.00 Actual pay offered may vary depending on multiple individualized factors, including work location, job-related knowledge, skills and relevant experience for the job.
