Description HOURS: 7:30am to 3:30pm

This position primarily supports daily library operations while assisting the Assistant Director of Library Services with administrative tasks. What Gulf Coast State College offers you:

Responsible for maintaining calendars and schedules (hours of operation, door locks, events, spaces, internal scheduling in Outlook) Assist with all the tasks associated with opening the library each morning Assist patrons at the service desk providing information, checking out materials, and responding to basic inquiries while referring reference questions to librarians Under supervision of the Access Services Librarian,

Process ILL requests daily Process hold shelf daily Assist with technical processing tasks for newly acquired materials Manage reserve collection

Physically process reserve material and catalog in integrated library system File documentation according to established procedure Monitor inventory of reserve materials and contact assistant director about replacing or removing outdated materials

Withdraw items from ILS, ensure physical processing and disposition, and send items to Better World Books in a timely manner and following established procedure Assist with the acquisition of new titles by submitting requests Assist with entering relevant statistics into LibInsight; track and report other usage statistics as necessary

Monitor and track the library budget, including expenditures and allocations, under the

supervision of the "title of interim" to ensure financial resources are used effectively Process purchase requests for books and other library materials in all formats; liaise with vendors to ensure timely acquisition of requested items Maintain an accurate and current library budget spreadsheet and reconcile it weekly with Banner (more frequently and on demand at the end of the fiscal year) Ensure needed supplies are on hand for all library staff and activities, which includes proactively monitoring stock levels, ordering, tracking orders, verifying deliveries, and processing returns when necessary Prepare orders and purchase requisitions per college policies and procedures for approval Handle daily cash, check, and credit card deposits from library fines and fees according to established procedures Submit service calls and work orders as necessary for library building and equipment; follow up with incomplete requests in a timely manner; contact third-party vendors if items under warranty need repair or replacement Assist staff with travel arrangements related to library professional development and coordinate travel logistics and documentation Maintain office filing system, printed and online, and dispose of obsolete records in accordance with the State of Florida General Records Schedule Maintain inventory and equipment records for library Collect and distribute mail daily Maintain department policies and procedures manual and other shared documents Provide a high level of customer service when contacted in person or via telephone, providing accurate information in a professional manner Communicate with students, community members, faculty and staff effectively and professionally via verbal conversations, letter and memo writing using standard English, and electronic means Utilize advanced computer skills to include productivity software (Outlook, Word, Excel, PowerPoint, etc.), Canva, and the integrated library management system Take initiative to perform assigned duties accurately and in a timely manner; stay aware of departmental needs and priorities to maximize productivity Participate in special projects and perform other assigned duties Represent the department on college-wide committees, task forces, and action teams Attend professional development Serve as Notary Public for the community

Typical Qualifications

A high school diploma and two years of relevant experience are required.

CERTIFICATES, LICENSES, ETC:

Commission by the State of Florida Notary Public (within 6 months of hire) AED Heartsaver Training (within 6 months of hire; offered through the college)
