Overview

Administrative Assistant IV at Texas Health and Human Services Commission (HHSC). Location: SAN ANGELO, TX. Posting Number: 8877. Closing Date: 09/19/2025. Employment type: Full time. Responsibilities

  • Perform duties for the management of the Interest List Management (ILM) Unit, including intake processes, service coordination, and complex complaint resolution.
  • Provide consultation and technical assistance, facilitation, coordination, and problem solving related to Medicaid waiver programs.
  • Adhere to contracts, policies, procedures, and guidelines to ensure program requirements are followed.
  • Identify recurring issues within programs and notify management with recommendations for improvement.
  • Work with limited supervision and exercise initiative and independent judgment.

Essential Job Functions (EJFs)

  • Maintain regular and predictable schedule; perform data entry in the Community Services Interest List (CSIL) system and the HHS Enterprise Administrative Report and Tracking System (HEART).
  • Answer toll-free intake line, handle inquiries, route calls, and take messages as necessary.
  • Coordinate release processes and track responses; follow up to ensure timely communication with released individuals.
  • Coordinate sharing of forms and documents between organizational units and with regional/state staff.
  • Compose correspondence, form letters, and memorandums related to the interest list.
  • Perform interest list contacts, send letters to correct addresses, and research undeliverable mail using SAS and TIERS.
  • Complete additional tasks or projects as assigned by management.

Knowledge, Skills and Abilities (KSAs)

  • Knowledge: Community resources available to persons who are elderly or have disabilities.
  • Skill: Creating and updating Excel spreadsheets.
  • Ability: Explain complex information clearly; read and interpret information; write instructions and develop chronologies; enter information in automated systems while on the phone; conduct research and prepare detailed reports.

Qualifications

  • High School Diploma or GED required.
  • Experience with Health and Human Services waiver services, or experience with children or adults who have disabilities.
  • Preferred experience handling a high volume of assignments in a short period of time; proficiency with personal computers and Microsoft software.
