Executive Assistant
This role involves providing comprehensive support to the CEO of the company, requiring previous experience working with C-Suite level executives. The Executive Assistant will manage the CEO's calendar and meetings, and play an integral role in business operations by sharing ideas to drive business growth. Responsibilities include: Manage all activity in Outlook, including maintaining contact databases and managing professional and personal calendars and schedules. Anticipate the CEO's forward calendar needs and develop advance briefing materials. Update and maintain the company's Accountability Chart for all divisions. Compile reports and updates by pulling information from systems and soliciting input from functional personnel. Serve as a liaison between the CEO and other employees. Complete special projects by establishing objectives, managing time, and solving problems. Communicate with internal colleagues and external counterparties with grace, diplomacy, and poise. Maintain awareness of special projects and corporate priorities to track the CEO's management of corporate priorities. Handle confidential information with solid judgment and absolute discretion. Manage expense reporting and selected personal financial matters for the CEO with confidentiality. Assist with general office administration, including office management and room reservation management. Plan and execute all aspects of the company's Annual Incentive Trip. Assist in answering inbound office calls. Lead strategic initiatives that support and enhance the company's culture. Anticipate needs and proactively address issues. Assist other Leadership Team members as assigned. Resolve issues and troubleshoot a variety of operational and administrative situations. Organize and maintain physical file systems. Perform other duties as assigned. Essential Skills include: Executive Assistant experience with C-Suite level executives. Proficient in calendar management using Outlook. Proactive in the workplace. Strong communication, listening, and organizational skills. Bachelor's degree. Additional Skills & Qualifications include: Experience with expense reporting software (trainable). Travel management experience (domestic and international). High level of business acumen. Personable yet professional demeanor. Sharp attention to detail and good listening skills. Work Environment: The position is primarily in-office, Monday through Friday, 8 AM to 5 PM, with flexibility required for early or late hours due to international communications.
