Description
Responsible for coordinating, performing, and maintaining administrative support activities for the Office of County Administration. Prepares routine correspondence, compiles information for reports, and maintains files for a variety of records. Must exercise independent judgment and initiative in completing assignments, and must maintain confidentiality at all times. Supports the Assistant to the County Administrator/Deputy Clerk and Senior Administrative Coordinator with the preparation and maintenance of the Board's agenda and minutes on the County website. Interacts regularly with the public, providing information, and either responding to inquiries and complaints, or forwarding them to appropriate person, if necessary. Work is performed under regular supervision. Minimum Qualifications
Graduation from high school supplemented by course work in secretarial science or business practices, and 3 years of experience in administrative or clerical work, including experience in office management; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities. Answers telephone and greets public officials, Department Directors, other staff members, and citizens; screens calls and visitors and responds to a variety of routine inquiries or directs inquiries to appropriate personnel; takes and distributes messages.
Updates databases and websites of membership listings for various boards, commissions, and committees appointed by the Board of Supervisors, as well as Board Bank applications.
Prepares adopted ordinances and resolutions for Deputy Clerk's signature after Board of Supervisors' meetings including formatting, photocopying, distributing, and filing after the signature is obtained.
Establishes and maintains a variety of records and files for County Administration and the Board of Supervisors using Laserfiche archiving software.
Prepares presentation resolutions and proclamations; compiles, composes, and prepares various documents requiring a variety of different software formats; assumes responsibility for the correctness of spelling, punctuation, format, and grammar.
Maintains budget records for County Administration and the Board of Supervisors, preparing required purchase requisitions and requests for payments, ensuring proper budget codes are used and line item balances are adequate for purchases/expenditures. Physical Demands
Must be physically able to operate a variety of automated office machines which include a typewriter, calculator, copier, facsimile machine, etc. Sedentary work involves sitting most of the time, but may involve walking or standing for periods of time.
