Overview
College Relations & Development Associate (4722C) - 24836 at UC Berkeley. The role provides administrative and operational support to the College Relations & Development department, including engagement opportunities, events, communications, and fundraising campaigns. The position reports to the Assistant Dean of College Relations & Development and supports a team of professional staff and student workers. Responsibilities
Event Planning & Support: develop and execute event invitations and registrations using CADS, Salesforce/Marketing Cloud, and Paperless Post; manage invitations and attendee lists; assist with venue bookings, vendor bids, logistics, on-site setup, AV/Zoom support, and post-event surveys. Donor Gift Acknowledgments: draft, edit, and mail donor/gift acknowledgement letters using MS Word mail merge; set up templates and processes for personalized letters; print and mail in a timely fashion. Purchasing, Contracts & Reimbursements: ensure compliance with campus purchasing policies; process purchases via BearBuy and credit cards; reconcile invoices; administer purchase orders/contracts and vendor payments; manage travel/entertainment reimbursements. Marketing & Communications Support: proofread/edit communications and websites; manage mass email campaigns via Marketing Cloud or Google E-Mail Merge; audit/update materials and assist with proposals; conduct donor research and update CADS/Salesforce; track event attendance and donor data. General Department, Team & Staff Support: schedule meetings and retreats; arrange travel and accommodations; maintain workspace and inventory; capture meeting notes and support major gift officer visits. Customer Service: serve as first point of contact for the team; manage inquiries and member requests; interact with students, alumni, donors, and partners. Career Development: participate in classes/committees; maintain knowledge of business processes to back up other staff. Qualifications
Experience navigating administrative functions and operational systems in complex organizations with policies and guidelines. Experience supporting in-person and virtual events, including venue contracts, registrations, logistics, and post-event follow-up. Experience with purchasing and reimbursements using Amazon Business, BearBuy, and campus policies; able to reconcile invoices and process travel/entertainment reimbursements. Strong data management skills with donor databases (CADS, Salesforce, Razor's Edge) and ability to handle confidential information responsibly. Excellent calendaring/scheduling abilities for coordinating across multiple stakeholders and external partners. Effective communication skills (written and verbal) and ability to work with diverse groups of people; customer service orientation. Proficiency in Microsoft Office and Google Workspace; experience with mail merges and basic marketing tools. Ability to work evenings/weekends for events and be onsite 1–2 days per week. Preferred Qualifications
Experience in an academic environment, particularly alumni relations or annual giving. Familiarity with Raiser’s Edge, Salesforce, CADS; knowledge of campus purchasing policies. Experience with event planning, volunteer management, email marketing, web research, and basic design tools (Illustrator, HTML). Supervisory or lead experience; understanding of fundraising, donor relations, and public relations concepts. Salary & Benefits
