The Career Center engages CSUF students to prepare for their futures by providing guidance, resources, connections with employers, and confidence. We seek an exceptional individual to join our team as the Budget and Office Lead (Administrative Analyst/Specialist Non-Exempt). The ideal candidate will demonstrate a positive attitude, ethical practices, and a commitment to diversity, openness, flexibility, and integrity. The Budget and Office Lead provides administrative support, customer service, leads support staff, monitors and maintains the unit's budgets, and serves as a liaison to Human Resources and Inclusive Excellence (HRIE). Responsibilities include monitoring and maintaining multiple budgets, providing up-to-date forecasting and projection reports for State, Philanthropic Foundation, Auxiliary Services Corporation (ASC), State Budget, JLD Budget, and Student Success Initiative Fees/Budget. The role initiates budget documents and planning meetings, processes authorizations, downloads and reconciles data, prepares reports, and handles documentation including requisitions, invoices, check requests, travel, disbursements, and payroll. The position assists the director in overseeing day-to-day administrative operations and the development and oversight of procedures to serve students, alumni, and employers. It functions as the Career Center's primary liaison to key campus departments. Initiates, analyzes, researches, and prepares complex data for operating and financial reports, including time and attendance records, travel and expense reports, and personnel files; provides recommendations to management. Oversees purchasing and collections, deposits, and account maintenance. Coordinates work for support staff to ensure timely completion of duties and quality service delivery. Coordinates travel arrangements, reservations, itineraries, and travel vouchers; plans meetings, retreats, conferences, and in-service training. Organizes processes to hire, train, and supervise student employees for the Career Center. Identifies opportunities for service improvement and operational enhancements; makes recommendations to the Director. Participates in meetings, professional development activities, and supports department committees, projects, and search processes. Performs other duties as needed or assigned.
Responsibilities and Qualifications
Essential Qualifications: Bachelor's degree from an accredited four-year college or university and/or equivalent training and administrative experience involving policy, procedures, or program development or improvement. Working knowledge of general practices in the relevant administrative specialty; ability to learn, interpret, and apply a wide variety of policies. Knowledge of and ability to apply budget policies and procedures; ability to analyze data and project using business mathematics and basic statistics. Ability to make independent decisions, manage multiple priorities, and organize work; ability to compile, write, and present reports related to the program or administrative area. Demonstrated ability to establish and maintain cooperative working relationships. A background check (including criminal records) is required; conditional offers may be rescinded if disqualifying information is found.
Preferred Qualifications: Five years of office experience serving students, employers, and the public. Knowledge of California State University, Fullerton policies and procedures related to budget, finance, travel, purchasing, foundation, advancement, and attendance, with a track record of applying these policies successfully.
