The Receptionist is the “gatekeeper” for the school and is the first representative to create a good impression on prospective families and the general public. The receptionist is also the voice of Pine Crest School when greeting people entering the building and answering the phone.
Essential Job Functions
- Supports the School’s mission statement and the philosophy of the department and adheres to School policies and procedures, including the Employee Handbook
- Answers the phone, screens calls, transfers calls to the appropriate office or employee, and prepares a recorded message for incoming calls during a school holiday
- Takes and relays messages via hand, email or verbally
- Provides information to callers regarding school activities, calendar, vacations, etc.
- Handles questions about the school and offers material with school information
- Gives directions to parents or guests who have reason to be on school grounds
- Deals with questions regarding various school matters
- Monitors visitor access and issues visitor badges for safety and security purposes
- Provides general administrative and clerical support to all Administrative Departments
- Receives and sorts mail for distribution; removes names from external mailing lists; maintains postage availability
- Prepares outgoing mail for pickup
- Sends and receives faxes for the school
- Accepts and signs for Federal Express, UPS, and related deliveries; receives printed materials and school group t-shirts
- Orders copy machine and mail machine supplies
- Schedules machine maintenance and repairs for copying, fax, postage, and folding machines
- Issues car decals for employees and school families and maintains records
- Maintains a clean, pleasant appearance of the Reception lobby and surrounding area
- Serves the faculty and staff in a Notary Public capacity
- Handles difficult situations such as parental complaints and guides parents to the appropriate Department/Administrator to resolve the problem
- Distributes mail and other materials arriving from the Fort Lauderdale campus
- Prepares a comprehensive telephone list of all employees showing their job title and location
- Provides an ear for those who wish to discuss anything
- Performs other duties as assigned by the Department Supervisor or designee
Job Qualifications
Education
High School Diploma required
Experience And Qualifications
Minimum 5 years’ experience working in an office environment; school setting preferred
