Administrative Assistant
Position Summary Holy Cross School is seeking an Administrative Assistant to support the high school office. The Administrative Assistant will report to the Principal and provide essential clerical and administrative support to the school office, assisting students, visitors, Holy Cross Educators, and administrators while ensuring smooth day-to-day operations. Candidates must be available to work from 7:30 a.m. to 3:30 p.m. Monday through Friday and have the flexibility to attend essential events as needed outside normal hours to support school needs. This role is a 12-month, full-time, benefit eligible position. Qualifications •Commitment to Holy Cross School's mission, purpose, and culture with excellent ability to be a positive ambassador and advocate for the school. •High school diploma or equivalent required •Proven experience in an office or administrative role, preferably in an educational setting. •Demonstrated experience using Microsoft Office products, preferred experience with school attendance systems. •Understanding of school office terminology, practices, and procedures. •Outstanding work ethic with positive attitude and excellent initiative. •Ability to pass extensive background check. Primary Duties & Responsibilities •Serve as assistant to the Principal and other school administrators. •Greet and assist students, parents, visitors, and staff in a courteous and professional manner. •Answer and direct phone calls, take messages, and respond to inquiries. •Manage and organize school records, student files, attendance logs, and other important documents. •Assist with scheduling appointments, meetings, and school events. •Prepare, maintain, and distribute correspondence, reports, records, and communications. •Perform a variety of office functions and clerical tasks related to the administration and operations of the school, including but not limited to typing, copying, scanning, filing, and data entry. •Maintain office supplies inventory and place orders as needed. •Assist in managing student attendance and attendance reporting. •Coordinate communication between administrators, teachers, students, and parents. •Ensure confidentiality and security of sensitive student and school information. •Provide back-up support for other office personnel, as necessary. •Perform other duties as assigned. Required Skills and Abilities •Ability to maintain confidentiality and exercise discretion when handling sensitive information and situations. •Act in a professional and ethical manner at all times and comply with school policies, procedures, and expectations. •Strong organizational skills and attention to detail. •Ability to multitask, prioritize, and work efficiently in a fast-paced environment while meeting deadlines and honoring schedules. •Outstanding written and verbal communication and interpersonal skills •Welcoming, professional demeanor with excellent customer service skills and telephone etiquette. •Resourcefulness with ability to problem solve. •Ability and enthusiasm for promoting the school and its mission to a broad and diverse group of stakeholders.
