ABOUT THIS POSITION

The Planning and Development Department (PDD) guides the physical development of the city by preserving our historic sites, planning what can be built, and ensuring safe construction of buildings and infrastructure. It is a city department of over 500 employees across four main Divisions: Management Services, Planning, Historic Preservation, and Development.

The Planning and Development Department has a Records Supervisor vacancy in the Management Services Section.

The Records Supervisor is responsible for balancing cash, check payments, and closing out credit card payments daily. This position supervises staff in the analysis and classification of official City records and ensures that all records management procedures meet applicable City, State, and Federal legal requirements. They will train and instruct records clerk staff and clerical support staff to collect, review, compile, and classify information for all official City records for accurate and rapid retrieval. The Records Supervisor also oversees the storage, maintenance, retention, and destruction of records, as well as document scanning and indexing.

This Records Supervisor is responsible for responding to records subpoenas, liquor licenses applications, and may be required to testify in legal proceedings.

IDEAL CANDIDATE

Knowledge of researching and assisting with public records requests. Ability to learn technologies used to manage and maintain a large central records system. Ability to work in a fast-paced environment with multiple deadlines. Proficient computer skills in Microsoft Word and Excel. Familiarity with various types of building plans. SALARY

Pay Range: $27.49 to $38.68 per hour.

Hiring Range: $27.49 to $36.84 per hour.

Please understand that this is pay grade 047. If selected, your salary offer will be based on the applicable promotion or demotion worksheet in accordance with the City Pay Ordinance.

Promotions occur when the last two digits of the pay grade increase. Demotions occur when the last two digits of the pay grade decrease. Lateral transfers occur when there is no change to the last two digits of the pay grade. When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit. MINIMUM QUALIFICATIONS

Three years of records management experience involving public contact and supervisory duties. Other combinations of education and experience that meet the minimum requirements may be substituted. All finalists for positions are subject to a criminal background check applicable to the department or position. Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage. The minimum qualifications listed above, plus:

Supervisory or lead experience. Experience using Electronic Document Management System. Experience training staff and creating Processes/Procedures. Experience managing a large Records System. Experience processing Public Records Request. Cash handling and balancing experience. Experience working with OnBase and KIVA. Experience processing Liquor License application and Subpoenas. Experience with records retention and destruction policies and procedures. Customer service experience including working directly with public in person and over the phone.
